Organisation Principles
Collection organisation is the deliberate design of a physical and documentary system that keeps every object identifiable, findable, safely housed and returnable to the correct place. A collection is not properly organised merely because it looks neat. It is organised when an object can be found, retrieved, used, monitored and returned without guesswork, avoidable handling or loss of information.
The governing challenge is that storage must satisfy several aims at once: preservation, access, accountability, security, growth and intellectual coherence. Those aims often conflict. Good organisation therefore depends on explicit priorities and controlled compromises rather than a single universal sorting rule.
Collector scenario: one boxed set, several safe homes
A boxed role-playing game may belong together intellectually, yet its parts may need different physical arrangements. The outer box can sit flat on reinforced shelving, rulebooks can be supported in an archival document box, a poster can lie in a map drawer and metal miniatures can occupy a divided tray.
The catalogue preserves the set relationship and completeness evidence. Location records preserve the current physical route to each component. This is stronger than either keeping incompatible parts together unsafely or separating them without documenting the connection.
The organising brief
Organisation has several simultaneous purposes
A useful system is judged by what it enables, not by how impressive its labels or shelves appear.
Retrieval
A catalogued item can be located quickly and confidently without searching unrelated boxes or relying on memory.
Preservation
The arrangement avoids crushing, abrasion, distortion, harmful contact, unstable support and unsuitable environments.
Identification
The item remains recognisable when boxed, wrapped, separated from original packaging or stored out of sight.
Accountability
The record distinguishes what is present, missing, loaned, temporarily removed or awaiting processing.
Access
Frequently used objects can be reached without repeatedly moving fragile or reserve material.
Growth
The system can absorb acquisitions and changed collecting interests without constant renumbering or wholesale disruption.
Core distinction
Intellectual order and physical order are different systems
The way a collector understands and searches a collection does not have to be the way objects are physically stored.
Intellectual organisation
This expresses meaning, history and research relationships. It is usually multidimensional and belongs primarily in the catalogue.

Boundary principle
Use physical arrangement for the characteristics that matter physically. Use metadata and explicit relationships for the many characteristics that matter intellectually. Do not force unlike objects into unsuitable storage merely because they belong together conceptually.

When priorities conflict, the sequence below provides a disciplined basis for judgement.
Prevent damage
Physical safety outranks visual neatness, perfect sequence and maximum density.
Maintain identity and evidence
An item, its components and its records must remain distinguishable when moved, enclosed or separated.
Make retrieval and return reliable
The system must work in both directions: finding an object and putting it back correctly.
Use space efficiently
Efficiency means workable capacity, not filling every shelf until safe access becomes impossible.
Improve visual order
Appearance matters, but only after preservation, documentation and operational control are sound.

Avoid object numbers such as Shelf-3-Item-7 or highly descriptive codes that embed condition, date, category and location. Those facts can change. A neutral identifier keeps links to photographs, invoices, provenance, condition reports, insurance schedules and earlier catalogues intact.

Location philosophy
Fixed, floating and hybrid storage
The right model depends on collection scale, growth, object diversity and the reliability of location records.
Fixed location
Categories or objects receive permanent areas. This is intuitive, browsable and suitable for small, stable collections.
Risk: reserved space is wasted, fast-growing categories cause reshuffling and physical incompatibilities become awkward exceptions.
Floating location
Objects occupy any suitable available position and the catalogue records the exact address.
Risk: browsing is weaker and one unrecorded move can make an object administratively lost.
Hybrid location
Broad zones are reserved by format, material or storage requirement; objects float within those zones.
Often the strongest private-collection compromise: physically coherent, expandable and still reasonably browsable.
Collector judgement
Classification should support decisions
A category earns its place when it changes how objects are found, interpreted, stored, protected or managed.
Search
Will I genuinely look for objects using this distinction?
Keep categories that improve finding, interpretation or reporting; avoid distinctions that exist only because they are interesting to invent.
Physical effect
Does this distinction change storage, handling or inspection?
Material, format, size and fragility often deserve stronger physical influence than publisher, chronology or rarity.
Consistency
Can I apply it repeatedly without guesswork?
A category that depends on shifting personal intuition will create exceptions and unreliable filtering.
Permanence
Is it a lasting attribute or a temporary workflow state?
Do not turn ‘to photograph’, ‘awaiting research’ or ‘for sale’ into permanent shelf taxonomies.
Multiplicity
Can an object belong to several meaningful groups?
Let the catalogue carry multidimensional relationships; physical storage normally expresses only one or two of them.
Comprehension
Could another competent person understand the term?
Controlled terminology and documented rules are stronger than owner-only shorthand.

Keep together where useful; separate where necessary
Reasons to keep items together
- They form one original set or provenance group.
- Small components are easily lost.
- Completeness is difficult to establish when parts are dispersed.
- Their meaning or research use depends on association.
- They are repeatedly handled or studied as one unit.
Reasons to separate items
- Materials are chemically or physically incompatible.
- Weight, size or shape creates pressure or abrasion.
- One component requires different environmental or security conditions.
- The original container provides poor support.
- Repeated unpacking places the whole set at risk.
Original packaging: evidence is not the same as enclosure
Original packaging may be historically and commercially important, but it was usually designed for manufacture, transport and retail rather than indefinite preservation. Acidic board, staining foam, tight restraints, loose heavy components, failed adhesives and sealed microclimates can all create long-term problems.
Retain and document original packaging where significant, but consider secondary boxes, removable inert support or linked separate storage for vulnerable components. Photograph the original arrangement before intervention.
Operational control
One assigned home, with real temporary locations
Every object needs a normal return location, but temporary displacement must also be visible in the system.
Photography tables, quarantine shelves, valuation piles, research desks, outgoing-sales boxes and ‘to catalogue’ areas are locations, not exceptions to location control. An item moved beyond the current working session should normally have its movement recorded.

Where the object can be found now.
Home location
Where it should return after use, treatment, photography or loan.
Movement record
Who moved it, when, why, from where, to where and when return is expected.

Containers should have bounded purposes and contents that agree with both their labels and catalogue records.

Capacity and access
Design working capacity, not maximum density
A full shelf may look efficient but can be operationally expensive and physically unsafe.
Leave room for work
- Safe removal and replacement
- Growth in active categories
- Inspection and cleaning

- Supports, enclosures and dividers
- Clearance from floors, walls, pipes and leak paths
Position by use and risk
- High-access material near safe working height
- Heavy objects above floor level but generally below shoulder height
- Fragile objects away from traffic and unstable neighbours
- Reserve material in denser storage only when exact and inspectable
- Restricted material in layered, controlled-access locations
Reserve expansion space according to growth pattern rather than distributing empty space equally. A closed publisher run may need little room; modern miniatures, ephemera or oversized material may need substantial future capacity or entirely new zones.

Structured parent–child containment is stronger than free-text location notes because it supports validation, inheritance, capacity reporting and bulk movement.

These patterns often look manageable until the collection grows, another person needs access or a high-stakes event tests the records.
The memory-based collection
Symptom: Only the owner knows where things are or why they are arranged that way.
Collector risk: The system collapses during absence, illness, sale, insurance work or estate administration.
Correction: Give objects persistent identifiers, give spaces stable addresses and write down the operating rules.
The appearance-based collection
Symptom: Objects are arranged for visual effect or perfect sequence despite incompatible sizes and supports.

The overflow shadow system
Symptom: Official locations are full, so recent acquisitions accumulate in unofficial piles and spare boxes.
Collector risk: The catalogue describes an ideal collection while actual objects migrate into undocumented space.
Correction: Create controlled intake and overflow locations, then plan working capacity and growth by category.
The miscellaneous-box graveyard
Symptom: Unresolved objects remain indefinitely in containers labelled ‘various’, ‘old items’ or ‘to sort’.
Collector risk: Objects become effectively lost and identification, condition and ownership questions remain hidden.
Correction: Treat miscellaneous storage as a temporary workflow state with an owner, review date and bounded purpose.
The container illusion
Symptom: A box label is trusted even though contents have changed over time.
Collector risk: Recorded and physical reality diverge while the system still appears orderly.
Correction: Reconcile container inventories through rolling checks and update both label and catalogue at the moment of change.
The hyper-coded identifier
Symptom: The object number encodes date, category, printing, location and condition.
Collector risk: Corrected knowledge or physical movement makes the identifier false or forces disruptive renumbering.
Correction: Use a neutral persistent ID and keep descriptive or changeable facts in metadata fields.

A practical hierarchy for a disorganised collection
Do not begin by perfecting classification. First restore physical safety, identity and location truth.
Stabilise immediate hazards
Address objects on floors, unstable stacks, active leaks, mould or pest concerns, crushing, overloaded furniture and blocked access routes before reorganising categories.
Establish identity
Assign or confirm a persistent identifier for each managed object, set or component group.
Address the space
Number rooms, cabinets, shelves, drawers, boxes, trays and controlled temporary areas.
Record current reality
Document where objects actually are. Do not begin with an idealised catalogue that hides existing disorder.
Control intake and temporary movement
Create real locations for quarantine, photography, research, cataloguing, outgoing sale and loan preparation.
Group by physical need

Inventory test

Full inventory is appropriate after major reorganisation, when records are unreliable or responsibility changes. Rolling inventory checks one cabinet, category or risk group at a time. Spot checks test whether the system works under ordinary conditions.
Verify more than presence
Specialist threshold
When a more formal system becomes proportionate
Complexity should increase because the collection demands it, not because elaborate systems look professional.
Small collection
A shelf-and-box plan plus a spreadsheet can be sufficient when IDs, locations, categories and movements are controlled.
Medium collection
Hierarchical location codes, container records, photographs, controlled vocabulary, movement tracking and rolling inventory become increasingly valuable.
Large or high-value collection
Dedicated collection-management software, barcode or QR workflows, audit trails, role-based access, separate component records, disaster priorities and formal inventory schedules may be justified.
The deeper principle
Organisation is not fundamentally a problem of sorting objects into categories. It is the work of maintaining reliable relationships: object to identity, object to location, object to enclosure, component to whole, object to documentation, object to provenance and object to movement history.
Shelves hold the objects. The organisational system holds those relationships. A physically neat collection without reliable relationships is merely arranged; a well-organised collection remains intelligible, traceable and usable when objects move, categories change and the collection grows.
