Hierarchy, facets and multiple relationships

A designer's working files, a family toy group, a tournament participant's materials or a complete subscription retained by its original purchaser may carry meaning because the objects remained together. Before dividing such a group, record who assembled it, how the association is evidenced and what would be lost by separation.
Original association does not justify continued physical harm. A photograph may need removal from an acidic album, but its former position, sequence and relationship should be documented before intervention.
Fixed, dynamic and hybrid location systems
Fixed location
Every broad category has a permanent physical zone. Easy to learn, but space is wasted when categories grow unevenly and moved objects can become hard to trace.
Dynamic location
Objects use any suitable available space and the inventory records the precise current location. Efficient, but entirely dependent on movement discipline.
Hybrid location
Broad zones are fixed by domain, format or preservation requirement; individual shelves, boxes and positions are allocated dynamically. This is often the strongest private-collection model.

Designing a grouping scheme
Reorganisation should be piloted rather than imposed across the entire collection at once. The following sequence gives the collector a controlled path from purpose to daily use.
1. Define the purpose
Rank what the system must optimise: preservation, retrieval, display, completion tracking, research, valuation, sale management or space efficiency.
2. Survey the collection
Record object types, dimensions, materials, quantities, growth areas, fragile and heavy items, multipart objects, high-access material and uncertain identifications.
3. Identify natural intellectual groups

4. Identify physical constraints

Use the scheme through real retrieval, return and intake work before reorganising the rest of the collection.
Operational groups are useful because they make unfinished work visible: newly acquired, awaiting identification, photography, cataloguing, enclosure, condition review, reconciliation, sale or dispatch. They become dangerous when the queue itself becomes a permanent storage category.
Every temporary group needs an exit condition
A useful intake group might state: “Leaves this group after identification, photography, location assignment and catalogue completion.” The group should also have an object list, responsible person and review date.

Quarantine threshold
Quarantine is both a risk-control status and a physically separate location. It is appropriate for suspected active insects, mould, dampness, hazardous residues or unknown contamination—not as a casual synonym for uncatalogued or damaged objects. The area must be documented, access controlled and tied to a defined response.
Avoiding over- and under-categorisation
Over-categorisation
Categories contain one object without a clear management purpose.
Collectors repeatedly hesitate between nearly identical labels.
Long category names try to encode every attribute.
Records are duplicated so one physical object appears to exist several times.
More time is spent classifying than retrieving or caring for the collection.
Under-categorisation

The purpose test for every category
A category is structurally justified when it supports at least one real activity: finding, comparing, preserving, interpreting, securing, reporting, displaying or managing work. If it does none of these, it may be better recorded as descriptive data or a tag rather than used to divide the physical collection.
Controlled vocabulary, uncertainty and reclassification
Consistent terminology improves searching, filtering, reporting and future migration. Choose preferred forms such as “role-playing game,” “boxed set” or a defined condition term, while separately preserving wording printed on the object. A controlled term can carry a definition, synonyms, broader and narrower terms, related terms, deprecated forms and a usage note.
Record uncertainty explicitly
Use states such as unidentified, probably identified, attributed to, date range, variant unconfirmed, reproduction suspected, mixed copy or classification under review.
Record the proposed identification, evidence for and against it, references consulted, assessment date and confidence level. Do not create false precision to make the shelf look resolved.
Preserve reclassification history
Knowledge changes: a supposed first printing may prove later, an accessory may be recognised as an independent release, or a maker attribution may change.
Where meaningful, retain the previous classification, new classification, date, reason, evidence, person responsible and any resulting physical relocation.
Duplicates, composite copies and copy roles
Duplicate products are not duplicate owned objects. Copies may differ in printing, condition, provenance, inscriptions, completeness, repairs, packaging and location. Each physical copy should therefore have its own identity whenever those facts can differ.
