Finding Things

A collection is not operationally organised merely because it looks tidy, is grouped by subject or has been entered into a spreadsheet. The real test is whether a particular physical copy can be identified, located, reached and returned without searching through unrelated material or relying on the collector's memory.

Findability joins several separate controls: product identification, owned-copy identity, current location, physical access, movement recording and inventory reconciliation. A weakness in any one of them can make an apparently ordered collection behave like an uncontrolled one.

Collector scenario

“I know it is in one of the black tubs”

A collector owns three copies of the same boxed game: a complete playing copy, a sealed copy and an incomplete upgrade candidate. The catalogue proves ownership but records only “spare room.” The tubs are labelled by franchise, not by unique number, and one map has been stored flat elsewhere for preservation.

The collection is broadly grouped, yet the collector cannot move reliably from the record to one exact copy. The solution is not a more elaborate subject label. It is copy-level identity, a visible container address, a component cross-reference and a current movement record.

The four questions every finding system must answer

Ownership

Do I own it?

The catalogue must distinguish the product, edition, printing, language, completeness and other traits closely enough to confirm that the sought object is actually represented.

Copy identity

Which physical copy is it?

A product title is not enough when several copies exist. Each owned copy needs an identity that separates the sealed copy, reading copy, incomplete copy or sale copy from the others.

Current address

Where is it now?

A useful location narrows from room or zone to cabinet, shelf, box and internal division. “In the collection room” is not a retrieval address.

Physical access

Can it be reached safely?

The address may be accurate while the item remains functionally inaccessible behind heavy boxes, hidden labels, fragile stacks or unsafe shelving.

The operational test

Can a person begin with a question, find the correct record, navigate to one exact physical object, confirm that it is the intended copy and return it correctly without reconstructing the collector's private reasoning?

Intellectual order and physical order do different jobs

A catalogue may describe an item through franchise, publisher, edition, product type, date, rarity, condition and acquisition history. Its storage position may instead be determined by dimensions, weight, fragility, material compatibility, security or frequency of access.

Trying to force every descriptive relationship into the physical arrangement creates unstable storage. Oversize objects break subject runs, fragile items need different support, and security-sensitive copies may need to be separated from their ordinary counterparts.

  • What is it and which copy is represented?
  • What does it relate to?
  • Why is it significant?
  • Which traits, components and history belong to it?

Location system

Explains where the copy is

  • Where is the object now?
  • How is that location reached?
  • Which enclosure or division contains it?
  • Where should it be returned?

Boundary with preservation

Physical grouping should never override material compatibility, safe support or environmental requirements. Store according to preservation needs, then use the catalogue to maintain the intellectual connection between separated objects.

Use a unique owned-item identifier that remains attached to the same physical copy even when its storage location changes.

Store the current location as a separate field. A move should change the address, not force the object to be renumbered.

A location should work like an address

A useful location hierarchy moves from the largest controlled area to the smallest division needed for reliable retrieval. It should reflect the actual storage environment rather than imitate institutional complexity that the collector cannot maintain.

A code such as CR-C02-$04-B17-F06 narrows the search predictably. Every element used in the code should also be visible on the corresponding room, cabinet, shelf, box or folder.

Qualities of a workable location code

  • Unique: two controlled locations should not share the same complete code.
  • Hierarchical: each element should narrow the search in a predictable order.
  • Visible: the physical location must carry the same identifier as the record.
  • Human-readable: interpretation should not require a technical manual.
  • Expandable: future cabinets, shelves and boxes can be added without redesigning the whole system.
  • Stable: inserting a new container should not force widespread renumbering.

Choose a storage model that matches the collection

Fixed-location

Permanent subject zones

Related objects stay together in assigned areas. Browsing is intuitive, but growth creates gaps, overflow and repeated reshuffling.

Floating-location

Appropriate space first

Objects occupy any suitable available location and the catalogue provides the exact address. Space is efficient, but unrecorded movement damages the system quickly.

Hybrid

Fixed zones with numbered locations

Broad material or format groups receive permanent zones, while numbered boxes, drawers and shelves provide flexible positions within them. This is often the strongest domestic compromise.

Use the smallest useful location, not the smallest possible one

Not every object requires a folder, sleeve or exact position. Location precision should be deep enough to make retrieval reliable, but no deeper than the collector can maintain consistently.

The record does not narrow the search enough to prevent container-by-container investigation.

The location is fragile, expensive to update and likely to become false during ordinary handling.

Container-level control is often sufficient where contents are few and easy to distinguish. Item-level control becomes more valuable when a container holds many similar objects, individual items are valuable, retrieval is frequent, or missing components must be detected quickly.

Labels are retrieval infrastructure

A database location that cannot be seen on the physical furniture or enclosure is not operational. Rooms, cabinets, shelf edges, drawer fronts, boxes and internal divisions should carry the identifiers needed to complete the route described by the record.

  • Place labels where they are visible from the normal approach.
  • Use consistent positioning so users know where to look.
  • Keep location codes distinct from historical labels, product codes and collection numbers.
  • Use text or numbers alongside colour; colour alone is not a dependable identifier.
  • Avoid unnecessary adhesive labels directly on collectible packaging or vulnerable materials.
  • Where direct marking is unsafe, carry identity on the enclosure, support card, sleeve or tied tag.

Collector risk

Labelling must not create new damage. Dust jackets, painted surfaces, brittle cardboard, leather, textiles, plastic packaging and original shrinkwrap may all be harmed by adhesive, ink migration, abrasion or removal pressure.

Visual identification and search access points

Text may not distinguish visually similar copies, loose miniatures, unmarked accessories or repeated printings. A primary reference photograph can confirm packaging colour, damage, stickers, ownership marks or included parts at the point of retrieval.

Digital search must also reflect how collectors remember objects. Controlled fields support consistent filtering, while free-text notes and alternative names support flexible recall.

Components complicate finding

Boxed games, toys, model kits, record sets, watches and portfolios are assemblies rather than single objects. A set can appear present while one significant component is stored elsewhere, on display, loaned or missing.

Temporary locations are the greatest threat to findability

Many apparently lost objects have entered an undocumented temporary state: photography table, valuation pile, sale preparation, display, conservation work, loan, intake, quarantine or the familiar “put away later” area.

Where several people handle a collection, removal should operate like a checkout. A paper slip, movement card, barcode scan or catalogue transaction can explain the physical gap and show who has responsibility for the object.

Returnability is part of findability

A system is incomplete if an item can be found but not reliably put back. Shelf labels, container identifiers, location records and removal placeholders should make the return location obvious to a person who did not devise the arrangement.

Design question

Can another person return the object correctly without asking what the collector was thinking? If not, the arrangement still depends on private memory.

Measure retrieval effort, not visual neatness

A practical findability test

Test the system with objects that represent different storage difficulties rather than selecting only easy examples. Include a duplicate, small loose item, boxed set, displayed object, oversize item, recent acquisition, separated component, high-value copy and rarely accessed item.

  2. Confirm that the result identifies the correct owned copy.
  3. Read the current location and status.
  4. Navigate to the location without relying on memory.
  5. Identify the object without opening unrelated containers.
  6. Confirm its identifier and any separately stored components.
  7. Return it to the correct position.
  8. Record any movement or discrepancy discovered during the test.

  • Time required to retrieve the object.
  • Number of unrelated containers opened.
  • Number of objects moved out of the way.
  • Ambiguities in labels or copy identity.

Reveals stale locations, missing items, mistaken identities and records retained after disposal or transfer.

Full inventories suit major moves, system establishment, insurance review or suspected loss. Partial inventories can focus on one room, cabinet, franchise or high-value segment. Spot checks provide routine evidence that the system still matches physical reality.

Access, density and browseability require judgement

Frequently used material should normally be easy to reach, clearly subdivided and free from heavy obstructions. Low-access archival copies may occupy deeper storage, but preservation and security requirements still take priority over convenience.

Digital tools improve a sound system; they do not create one

Collection software can provide exact location fields, location browsing, box-content reports, photographs, barcode scanning, movement history, temporary-location alerts and “items at this location” views. Paper systems can provide the same fundamental controls at smaller scale.

Barcodes and QR codes reduce typing, but they cannot repair duplicate identifiers, poor location hierarchies or unrecorded movement. A sound scan workflow identifies both the object and destination, updates the current location and retains the former location as history.

Reorganise without creating a period of blindness

Reorganisation is a high-risk period because the old system can become false before the new one becomes reliable. Move bounded groups and update records during the move rather than relocating the whole collection and planning to repair the database later.

  1. Define the new location structure.
  2. Label all destination locations before moving objects.
  3. Retain or export the old location list.
  4. Move one bounded group at a time.
  5. Update current locations as each group moves.
  6. Mark unresolved identities or positions explicitly.
  7. Reconcile every emptied old location.
  8. Audit the new locations in both directions.
  9. Retain movement history rather than overwriting all evidence of the former arrangement.

When an item cannot be found

“Not found” is an investigation status, not a reason to delete the record. A missing object may be misidentified, temporarily moved, displayed, loaned, sold, separated from its components or placed in a neighbouring container.

Search sequence

  1. Verify that the correct product and owned copy are being sought.
  2. Check current and previous locations.
  3. Check temporary work, display, intake and quarantine areas.
  4. Check loans, sales and transfer records.
  5. Inspect neighbouring locations and similar-content containers.
  6. Check separately stored components.
  7. Ask other handlers and review movement placeholders.
  8. Record the date, locations searched and result.
  9. Assign a clear status such as location uncertain or missing during inventory.
  10. Repeat the search during a later audit rather than silently removing the record.
