Location systems
A location system is the controlled method used to answer one practical question: where, exactly, is this collectible now?It connects the physical object, its container, its storage position and its inventory record through a repeatable address that can survive growth, movement and another person taking over the collection.
The aim is not to create the longest possible code. It is to maintain an unbroken relationship between the object, its record and its physical place. A dependable system lets the correct item be retrieved promptly, moved deliberately, returned correctly and audited without relying on memory.
A complete address
Broad enough to understand, precise enough to retrieve
A serious collection may use a hierarchy such as site, room, cabinet, drawer, container and internal position. Each segment narrows the route while remaining independent of the object currently stored there.

Four rules that keep a location system trustworthy
The technical form can vary from handwritten registers to purpose-built software. These principles remain constant.
Authority
The object record is authoritative
A label helps someone navigate the room, but the inventory record is the formal statement of where the collectible is. Labels, maps and photographs support that record; they do not replace it.
Collector risk: When the physical label and the record disagree, the collection has a control problem even if the object can still be found.
Precision
Stop at the level that enables retrieval
A location should be precise enough for another informed person to retrieve the correct object without opening unrelated containers. More detail is useful only while it remains consistently maintainable.
Collector risk: Overly broad locations create searching; overly elaborate codes create non-compliance.
Identity
Objects, containers and places are different things
An object number identifies the collectible, a container number identifies its enclosure, and a location code identifies a physical position. Keeping those identities separate prevents ambiguity and preserves history when something moves.
Collector risk: A single number such as 017 is unsafe when it could mean item 17, box 17 or shelf 17.
Movement
Location control is a process, not a one-time field
A location system remains reliable only when movements are recorded at the time they occur. Photography desks, inspection trays and temporary packing areas are locations too.
Collector risk: Most location failures begin with a move that felt too brief or too obvious to record.
Address design
Build from site to exact position
A good hierarchy moves from broad to precise and stops as soon as confident retrieval becomes possible.
Site
HOME, STUDIO, OFFSITE
Separates homes, studios, vaults or off-site storage premises.
Design decision: Use stable site codes; keep postal addresses in restricted records.
Room or zone
STUDY, STORE1, SECURE-RM
Narrows the search to a stable named space within the site.
Design decision: Avoid informal names such as ‘back room’ that may change meaning.
Storage unit

Identifies the cabinet, bookcase, safe, rack, map chest or display case.
Design decision: Label every visually similar unit in a consistent position.
Shelf, drawer or panel

The retrieval test
Could a competent person who did not arrange the storage use the recorded address to retrieve the correct collectible without opening unrelated containers? If yes, the location is probably precise enough. If no, add one meaningful level. If the code is difficult to maintain in real time, remove detail that does not improve retrieval.
System choice
Fixed, floating or hybrid storage
The catalogue can preserve intellectual relationships even when physical storage follows size, material, risk or enclosure needs.
Fixed locations
A category, series or object is assigned a reserved physical area.
Strengths

An object occupies any suitable available position and the record provides the route to it.

Best suited to: Dense, growing or modular collections with disciplined inventory control.
Hybrid locations
Broad zones are grouped by material, risk or subject, with flexible positions inside each zone.

- +Reduces large-scale reshuffling
- +Allows sensitive objects to be separated
Limits
- -Requires clear rules about which decisions are fixed and which are flexible
- -Still relies on movement updates within each zone
Best suited to: Most serious private collections containing mixed formats, values and storage needs.
Collector scenario
One object, three location concepts
A first-printing adventure module is removed for condition photography
The module normally lives in a portfolio inside a drawer. The drawer has not changed, and the portfolio remains the module’s intended home. Yet the object is physically on the photography table. Recording only the normal location would make the inventory appear correct while giving the wrong answer to the question “where is it now?”
The record therefore separates the normal location, current location and movement history. When the module returns, the temporary move is closed rather than erased.

Operational control
Record movement at the point it happens
The movement procedure is the mechanism that keeps location data true after the first inventory has been completed.
Identify what is moving
Use the object or container identifier. When an intact container moves, record the container move rather than rewriting every child item individually.
Minimum evidence: Object ID, container ID or controlled batch reference.
Capture the origin
Preserve the previous location before assigning the new one. A movement history should explain where the object came from, not merely where it ended up.
Minimum evidence: Previous location and last verified date.
Assign the actual destination
Use a controlled temporary or permanent location. ‘Desk’, ‘somewhere safe’ and ‘TBC’ are not usable destinations unless they correspond to labelled, registered places.
Minimum evidence: New location code and containment relationship.
Record purpose and responsibility
State why the item moved and who handled the move. This matters even in a private collection when family, photographers, valuers, conservators or executors may become involved.
Minimum evidence: Movement date, reason and responsible person.
Set the return expectation
For loans, photography, display, packing or treatment, record an expected return or review date. Temporary locations should never become invisible permanent storage.
Minimum evidence: Due-back date, reserved normal location and outstanding-movement flag.
Confirm completion
On return or onward movement, verify the object, its components, its destination label and the updated record.
Minimum evidence: Actual return date, verification note and any discrepancy raised.
Containment
Track objects through containers, not only shelves
Many collections are nested: a boxed game contains books and maps; an album contains cards; a portfolio contains prints. The location model should express those relationships.

Containment warning
Container-level tracking works only while the contents remain controlled. If one child item leaves the box for photography or research, it needs its own current location and the parent set may need a temporary completeness flag. Moving the entire intact box can update the parent location; removing one component cannot.
Temporary zones

Intake, photography, quarantine, packing and display are legitimate positions in the object’s journey. They become dangerous only when they are invisible to the system.

Location failures are rarely random. They usually point to a specific weakness in precision, movement control, labelling or governance.

The system is technically recording whereabouts but is not precise enough for reliable retrieval.
Collector response

Proportionate audit rhythm
A modest collection may verify each cabinet annually. High-value, fragile or frequently moved objects deserve more frequent checks. A large collection can use rotating samples - one cabinet each month, priority material quarterly and a full cycle over several years.
Record the verification date, verifier, method, whether the container was opened, and whether labels and completeness were checked.

Myth
“I know where everything is.”
Reality
Location control is designed for growth, absence, stress, reorganisation and succession - not only for the collector’s memory on an ordinary day.
Myth
“The catalogue order should match the shelf order.”
Reality
Intellectual classification and physical storage solve different problems. Related items may need different enclosures, security levels or environmental conditions.
Myth
“Every object needs its own shelf position.”
Reality
Container-level tracking can be proportionate for low-risk grouped material, provided containment is explicit and removals are controlled.
Myth
“Barcodes solve location control.”
Reality
Scanning accelerates an established process. It cannot compensate for vague codes, unlabelled locations or movements that are not recorded.

“Temporary moves do not need recording.”
Reality
Temporary work areas are where many objects become functionally lost because the move feels too obvious to document.
Myth
“Once a location is entered, the task is finished.”
Reality
Location is a live operational fact. It must be updated, verified, audited and protected throughout the object’s life in the collection.
Implementation
Build a dependable private-collection system in controlled stages
Do not empty the entire collection at once. Work one unit or container at a time so the collection remains findable while the system is being introduced.
Physical structure
- List all sites, rooms, storage units, shelves, drawers and major containers.
- Choose one numbering direction for comparable units.
- Give fixed locations and movable containers distinct prefixes.
- Label locations where the code can be read without moving objects.
Record structure
- Create a controlled register of valid locations.
- Record current location separately from normal location where needed.
- Model containers and parent-child relationships explicitly.
- Keep free-text notes for access details, not for the primary address.
Movement discipline
- Create codes for intake, photography, research, display, packing and quarantine.
- Record moves when they occur rather than in a later batch.
- Preserve previous locations and movement reasons.
- Flag temporary moves that have passed their expected return date.
Verification and resilience
- Record when a location was last physically verified.
- Audit high-value or frequently moved material more often.
- Retire obsolete locations rather than deleting them.
- Keep a protected backup and document the convention for another person.
Boundaries with other domains
Location data supports preservation, insurance and succession - but does not replace them
Preservation boundary
A code can link to flood, light, heat, weight or pest-risk attributes, but the code itself does not make the location safe. Suitability remains a storage and preventive-care judgement.
Insurance boundary
Location control can support evidence of custody, security and loss circumstances. It does not prove ownership, authenticity, condition or value by itself.
Estate-planning boundary
A usable convention lets another person find and manage the collection. Estate instructions must still explain access, advisers, loans, priorities and the location of the master inventory.
Security boundary
Findability for trusted users must not become a map for outsiders
Precise rooms, safes, off-site addresses, access routes and concentrations of valuable material should remain restricted. Neutral codes disclose less than labels such as “home-office safe - rare coins,” but obscurity alone is not security.
Keep exact location data out of public catalogue exports, apply appropriate access controls, protect backups and avoid displaying conspicuous value or emergency-priority markings on storage furniture.
Specialist threshold
When ordinary collector practice is no longer enough
Professional input is warranted when the scale, hazards, handling demands or consequences exceed routine household management.

Location systems are not fundamentally about labels, barcodes or software. They are about preserving the relationship between the collectible, its record and its place. The best system is therefore not the most elaborate one. It is the simplest system that remains precise enough to retrieve objects, disciplined enough to survive movement, scalable enough for future growth and understandable enough for someone else to use.
A collection has effective location control when an object can be found promptly, moved deliberately, returned correctly, audited independently and accounted for even when the collector’s memory is unavailable.
