Growth and reorganisation concern the point at which a collection no longer fits the physical, intellectual or administrative system originally built for it. The failure is not always a shortage of shelves. A serious reorganisation is therefore not cosmetic tidying. Do not silently insert new material into a storage system that is being rebuilt. Each incoming object should have a controlled status and a named temporary location until it reaches permanent storage.

Classification and location

Intellectual order and physical order do not have to be identical

A catalogue can express relationships that a room cannot reproduce safely. Mature systems often separate what belongs together intellectually from what must be stored together physically.

The catalogue answers

What is related? Which edition, franchise, maker, printing, provenance group or set does this object belong to? Which parts and records are associated with it?

The location system answers

Where can this object be supported safely, retrieved predictably and returned without disturbing unrelated material?

A practical hierarchy often begins with storage requirement, then broad format or object type, followed by collecting category, series or chronology and finally the item identifier. The physical label only needs to connect reliably to the richer catalogue structure; it does not need to reproduce every descriptive level.

Moving an object should usually change its location, not its identity

A stable item code such as COL-000184 should remain attached to the object while a separate location field changes from one shelf code to another. Embedding location into the item identifier makes every move look like a renumbering exercise.

Renumber only when identifiers are duplicated, irreconcilable or genuinely unusable. When renumbering is unavoidable, retain old numbers, maintain a conversion table and verify each object individually.
