Planning a Move
Planning a collection move means designing a temporary preservation, documentation and custody system for every stage between the old location and the new one. The collector is not only deciding how to carry objects. They are deciding how identities, components, condition evidence, environmental protection, security and responsibility will survive a period in which normal storage controls have been removed.
The most important work therefore happens before the first object is touched. A successful move keeps every object identifiable, supported, protected, traceable and recoverable through packing, holding, loading, transport, temporary storage, unpacking and final placement. “Nothing visibly broke” is too low a standard: a move can also create delayed abrasion, distortion, corrosion, mould, adhesive transfer, separated components or lost collection information.

Can the collector prove control at every intermediate state?
Good move planning answers what is moving, where it is, where it should go, how it will be protected, who is responsible, whether it arrived and whether its condition changed. Any stage that cannot answer those questions is a weak point in the move.
The five controls that hold a move together
Packing is only one control. A collection can be superbly cushioned yet still be misplaced, separated from its documentation, exposed in an unfinished receiving room or left with disputed custody. The plan needs five connected forms of control.
Identity
What is moving?
Every significant object or defined group needs an identity that survives packing. A sealed container labelled “miscellaneous” is not controlled simply because it appears on a box count.
Location
Where is it now—and where should it end?
The plan should distinguish current location, packed holding area, vehicle position, temporary storage zone and final shelf, cabinet, drawer or bay.
Protection
How will it be supported?
The packing method must respond to the object’s actual weakness: shock, abrasion, distortion, environmental change, component separation or theft.
Custody
Who is responsible at each handover?
Responsibility should not disappear into phrases such as “with the movers.” Count, condition, time, names and exceptions matter whenever custody transfers.
Verification
How will arrival be proved?
A move is not complete when the vehicle doors open. Containers must be reconciled, vulnerable objects checked, locations updated and unexplained differences investigated.
First define what kind of move is taking place
“Moving the collection” can describe very different risk environments. The plan should name the real movement rather than defaulting to a generic packing list. An internal rearrangement may have no vehicle but many lifts and collisions; an exhibition move may have excellent packing but repeated custody transfers; an emergency relocation may deliberately accept one risk to escape a greater one.

Short distance does not mean low risk. Cabinet changes, decorating, shelf replacement and room-to-room moves concentrate handling, collision and location-control hazards.

Transfer into a storage facility
The move becomes inseparable from questions about water, environment, pests, access, fire, security, stacking, insurance and how long “temporary” will really last.

One outward journey may contain many custody and location events: home, packed holding area, vehicle, loading bay, stand, overnight store, return vehicle and reintegration.

Flood, fire, mould, pests, structural danger or theft risk may justify accepting extra handling risk. The aim is controlled rescue, not perfect routine procedure.
Collector scenario: the house is ready, but the collection room is not
A collector has catalogued and boxed a large collection for a residential move. The removal date cannot change, but shelving at the new property has been delayed. The household mover proposes stacking every collection box in the garage “for a few days.”
The immediate temptation is to treat this as a minor scheduling problem. It is actually a change of storage system. The garage must now be assessed for water, temperature, humidity, pests, access, security and floor contact. Heavy and fragile containers need zoning. Priority objects need an unpacking decision. The inventory needs temporary locations rather than fictitious final shelf references.
The move has not failed because the shelves are late. It fails only if the collector allows an unplanned temporary state to become invisible and unmanaged.
Classify objects by how they can fail
Room-based packing is convenient for unloading, but it is not a sufficient preservation method. Different objects in the same room may respond completely differently to movement. A strong plan overlays destination with a vulnerability classification.

Glass, ceramics, brittle plastics, projecting miniatures, models, framed glazing, mounted specimens and previously repaired objects.

Shock, vibration, collision, point pressure and unsupported movement inside a container.

Support the strongest structural areas, immobilise without crushing, protect projections and use a rigid outer container appropriate to the load.

Wood, ivory, horn, parchment, photographs, metals, composite objects, hygroscopic materials and unstable polymers.

Condensation, moisture ingress, rapid temperature or humidity change, excess heat and prolonged enclosure.

Compare origin, vehicle and destination conditions; shorten exposure; use suitable enclosures; and plan acclimatisation before unpacking where differences are substantial.
Separation

Objects with lids, keys, stands, cables, tools, removable accessories, certificates, packaging inserts or detached parts.

Physical survival with loss of completeness, provenance, function or association.

Inventory all components, keep them intellectually linked, isolate pieces that could damage one another and record their compartments before sealing.
Security
Often vulnerable
Small, portable, recognisable, valuable, easily resold or weakly documented items.

Opportunistic theft, disclosure of collection value, loss during handover and disputed ownership.
Planning response
Use neutral external codes, limit access to the detailed inventory, supervise transfers and consider direct or dedicated custody.
Myth versus reality: “fragile” is not a packing method
Myth
A fragile sticker, generous bubble wrap and a careful mover are enough to protect a vulnerable object.
Reality
Protection depends on compatible contact materials, structural support, controlled movement, load paths, orientation and a rigid outer system. A warning label cannot compensate for unsupported contents or a box that collapses under stacking.
A move plan in seven controlled phases
The sequence below is not a rigid museum procedure imposed on every private collector. It is a decision structure. A small, robust collection may use a simple spreadsheet and a few boxes; a high-value, hazardous or multi-party move may need a written method statement, specialist packing and formal handovers. The control logic remains the same.
Define the move
State the scope, purpose, destination, exclusions, deadlines, participants and temporary states. Decide what is definitely moving, remaining, isolated or still awaiting a decision.
- Separate collection objects from props, tools, packing stock and ordinary household contents.
- Identify hazardous, legally controlled, contaminated or culturally sensitive material.
- Do not allow “sort later” to become an untraceable category.
Build control before packing
Connect each object or defined group to a move record, container and destination. Record condition concerns before the object enters a new environment or another party’s custody.

Survey vulnerability
Find the objects that cannot safely enter an ordinary packing stream. Loose joints, flaking surfaces, mould, pests, leaking batteries, unstable film and heavy objects with weak handles require different decisions.

- Flag handling orientation and unsafe load-bearing points.

Prove the route and destination
Walk the complete journey, including every doorway, corner, stair, lift, loading bay and receiving point. Measure the packed object—not only the bare object.
- Confirm packed dimensions, weight, equipment and staffing.
- Prepare transition surfaces at shelf, trolley, lift, vehicle and receiving zone.
- Do not dispatch until the destination is dry, secure, clean and able to receive the collection.
Choose transport and custody
Match the transport method to vulnerability, value, size, legal status and environmental difference. Clarify transhipment, shared loads, overnight stops, subcontractors and exclusions.

Sequence packing, loading and receiving
Packing order, vehicle loading order and destination access are one problem. The first equipment needed at the destination must not be buried behind the collection.

- Keep inventory copies, tools, trolleys, protective sheets and monitors accessible.
- Plan priority unpacking by risk rather than convenience.
Verify, inspect and close
Reconcile container counts before opening, inspect packaging for evidence and compare objects with pre-move records. Update permanent locations only after placement has actually occurred.
- Photograph wet, crushed, punctured or disturbed containers before opening.
- Retain packaging until all objects and components are checked.
- Preserve the move inventory, condition records, handovers, incidents and final locations.
Route planning is more than choosing roads
Walk the entire physical route from the object’s current support to its final receiving surface. Check cabinet access, stairs, corners, door widths, lifts, low ceilings, loading bays, parking limits, uneven ground, external exposure and the destination’s unloading path. An object that fits through a doorway may no longer fit after padding, handles, a crate or weather cover are added.
Damage often occurs at transitions rather than during the main journey: shelf to trolley, trolley to lift, loading bay to vehicle, vehicle to temporary store, crate to floor and box to final shelf. Each transition needs a prepared surface, enough people, suitable equipment and one person clearly directing the movement.
Destination readiness is a dispatch condition
Do not pack merely because the current room must be emptied. Before dispatch, confirm that building work is complete, wet finishes have cured, shelving is stable, leaks and damp have been investigated, cleaning is finished, security and fire systems operate, routes are clear and receiving locations have been allocated.
Where final placement is impossible, create a deliberate receiving zone with raised supports, aisles, priorities and temporary location codes. The worst receiving area is the unplanned “temporary floor” beneath pipes, against an external wall or behind unrelated household goods.
Temporary storage must be judged as real storage
“Temporary” describes intention, not risk. A commercial unit, garage, spare room, exhibition back area or removal warehouse can expose the collection to physical force, theft, fire, water, pests, pollutants, light, unsuitable temperature, unsuitable humidity and loss of information. The shorter the planned stay, the more easily these questions are overlooked.

Can water reach the collection?
Check roof and wall condition, overhead pipes, tanks, floor drains, flood history, below-ground exposure and whether containers are raised from the floor.
Environment
How stable is the space?
A clean room may still fluctuate sharply. Consider heat, cold, humidity, condensation, pollutants and whether useful monitoring data exists.
Access
Can objects be inspected and retrieved safely?
A storage plan that maximises volume but removes aisles, lifting room and inspection space creates repeated handling and emergency-access risk.
Security
Who can enter—and is entry recorded?
Review locks, access logging, CCTV, contractor access, key control, alarms and whether the detailed inventory is kept separately and securely.
Biological risk
Can pests or mould spread unseen?
Use quarantine or suspect-material zones, keep food away, inspect walls and floors, and avoid mixing unchecked arrivals directly into trusted storage.
Duration
When will the arrangement be reviewed?
Every container left packed should have a deliberate status: unpack now, acclimatise, retain briefly, repack for storage or transfer into an archival enclosure.

A useful container hierarchy separates functions: a compatible contact layer, a support layer, cushioning, a rigid outer container and security-conscious external marking. No single material performs every role well. Original packaging may provide a custom fit, but it may also be brittle, acidic, contaminated, compressed or too valuable to serve as sacrificial shipping material.
Loading order must anticipate unloading order. Equipment needed first at the destination—trolleys, clean tables, tools, protective sheets, inventory copies and monitors—should remain accessible. Heavy robust items must not become hazards to light or fragile ones, and no collectible should form part of the stack’s load-bearing structure.
Unpacking should then follow risk rather than convenience. Wet or impacted containers, unstable objects, climate-sensitive materials, suspect pests or mould, short-term packing and high-value items usually take priority. Some sensitive objects may need to remain enclosed while temperature equalises; arrival alone is not an instruction to open everything immediately.
Custody, confidentiality and insurance
A move temporarily reveals what the collector owns, where it is stored, when a property may be unattended and who can access it. External labels should route and protect containers without advertising “rare coins,” “gold,” “signed first editions” or other value signals. The detailed inventory is often more sensitive than the boxes because it maps codes to descriptions and values; keep it secure and backed up separately.
At each transfer—collector to packer, packer to contractor, contractor to store, organiser to overnight security—confirm container count, visible damage, seals where used, date, time, names and exceptions. This is practical collection control and may also determine where responsibility lies if loss or damage is discovered.
Insurance should be reviewed before the move, not after an incident. Check transit cover, owner-packed items, contractor packing, unattended vehicles, overnight storage, shared loads, temporary-storage duration, fragile-item exclusions, high-value limits, geographic limits and any requirement for approved transporters, professional packing or prior notification.
Stop-the-move conditions
The plan should identify who can pause the move. Examples include an unsafe route, unsuitable vehicle, severe weather, missing container, damaged packing, water ingress, failed lift, unready destination, unexplained contractor substitution or a newly discovered hazard.
A schedule is not more valuable than the collection. A controlled delay is usually less damaging than pressing ahead without a safe receiving place, adequate staff or verified custody.
Specialist thresholds
Specialist help is not reserved for institutional collections. It becomes proportionate when ordinary equipment, knowledge, insurance or legal control no longer matches the object.
The object is structurally unstable, oversized, extremely heavy or impossible to replace.
