Evidence-Based Grading
Evidence-based grading is the disciplined practice of assigning a condition grade from observable, repeatable and explainable evidence rather than from expectation, rarity, price, provenance, seller confidence or personal enthusiasm. The grade is the end of the process. The evidence is its foundation.
A collector does not begin with, 'This looks like a high-grade example.' They begin with four separate questions: what can be observed, what those observations probably mean, how the relevant grading convention treats them, and what grade or qualification the evidence can support. Keeping those stages separate prevents a conclusion from disguising itself as a fact.
Evidence-based grading is not a universal scale and it does not make judgement disappear. It is a method for applying whatever scale, terminology or category convention governs the collectible. Its purpose is to make the reasoning visible enough that another competent person can inspect, challenge or reproduce it.
Collector scenario
Two objects, the same attractive label
Two copies of the same collectible are both described as excellent. The first listing supplies the word and three flattering front-facing photographs. The second records a clean front surface, light edge rubbing, one small reverse crease, complete inserts, a firm spine, no visible staining under angled light and no evidence of restoration within an external visual inspection.
The second seller has not necessarily produced a perfect grade. They have produced an examinable judgement. The evidence, the inspection limits and the reasons for the conclusion are visible. The first claim may be correct, but it asks the buyer to trust a label without seeing the path that supports it.
Evidence-based grading does not require an essay for every duplicate. It requires enough visible reasoning for the consequence of the grade.
The chain from object to grade
Grading compresses a complex physical object into a short word or number. A coin becomes MS 64, a comic 8.0, a card Near Mint, and a boxed toy 'excellent'. Yet the object contains much more information: wear, fading, missing parts, structural weakness, manufacture, handling, treatment and environmental change. The grade is therefore a conclusion drawn from the evidence, not the evidence itself.

Apply the declared category convention, including thresholds, qualifiers, component rules and any non-standard outcomes.

State the grade with its controlling evidence, limiting defect, qualifications, examination scope and confidence.
Grade the object that exists
Do not grade what the object once looked like, might look like after cleaning, supposedly deserved because of rarity, or would have achieved without one inconvenient defect. Historical importance, provenance, desirability and scarcity may transform value without improving physical condition.

What counts as grading evidence?
Grading evidence is any reliable observation that helps establish current physical condition, completeness, originality or degree of alteration. Evidence differs in strength. The collector's task is not merely to collect statements, but to understand what each statement can legitimately prove.
Primary evidence
Direct physical evidence
Visible or otherwise directly detectable condition features usually carry the greatest weight. These include wear, tears, creases, dents, corrosion, staining, fading, foxing, abrasion, paint loss, missing material, residue, broken seals, looseness and movement.
Direct evidence is strongest when it is clearly located, described and repeatable. 'A 12 mm colour-breaking crease at the lower-right corner' is more useful than 'corner damage'.
Construction and behaviour
Structural evidence
Some problems are revealed by how an object behaves rather than by how it looks from the front: a weakened hinge, brittle paper, a warped board, a cracked plastic joint, separated laminate, loose binding, impaired mechanism or rattling internal component.
An attractive object can therefore be structurally compromised. Surface appearance must not be allowed to conceal instability.
Viewing method
Optical and instrument-assisted evidence
Raking light, transmitted light, magnification, ultraviolet illumination, measurement, weighing and microscopy may reveal hairlines, gloss disturbance, shallow impressions, retouching, erased marks, altered texture or dimensional inconsistency.
Tools reveal evidence; they do not interpret it automatically. Their results still need category knowledge and a declared grading standard.

Comparative evidence
Authenticated reference examples, manufacturer specifications, adjacent-grade examples, recognised grading guides and archival images can help identify normal construction and interpret borderline features.
Comparison should illuminate the actual object. It must not become a substitute for examining it.
Recorded history
Documentary evidence
Invoices, treatment records, earlier photographs, prior grading notes and documented component histories may establish restoration, replacement, previous damage or change over time.
Documentation can be highly valuable without overriding current inspection. A ten-year-old grade records an earlier judgement, not a guarantee of present condition.
Weak support
Testimony and market inference
Statements such as 'never opened', 'stored carefully', 'from a famous collection' or 'sold for a premium' may guide investigation but should not settle a condition grade.
Reputation, price and provenance can increase confidence in a story while adding no new evidence about the object's physical state.
An evidence hierarchy
The hierarchy below is not a rigid law, but it is a useful discipline when different sources conflict. Stronger evidence should normally control weaker evidence unless there is a clear reason not to trust it.

Observation before interpretation
A common grading failure is to write an interpretation as though it were an observation. The result cannot be independently checked because the evidence has disappeared inside the conclusion. Better records name the physical feature first and only then classify its likely cause and grading consequence.

'The card has handling damage.'
This mixes observation and interpretation. It does not identify the feature, its location, extent or whether it is visible on both sides.
Stronger observation
'A diagonal surface indentation approximately 18 mm long is visible under oblique light near the lower-right corner.'
The statement can be checked. Interpretation can follow: is it a crease, a manufacturing impression, broken fibre or a shallow pressure mark, and how does the standard treat it?
Weak
'The coin has been cleaned.'
The conclusion may be correct, but the record hides the evidence supporting it.
Stronger observation
'Parallel hairlines cross the fields, reflectivity differs around protected devices and residue remains inside the lettering.'
The physical signs are recorded first. Cleaning becomes an interpretation supported by multiple observations rather than an unexplained label.

The same physical evidence can have different consequences across categories. A small crease may be decisive on a modern trading card, one of several factors on an antique dust jacket, structurally important on a folded map, or an expected original fold on an issued insert. Evidence-based grading is standard-relative, not mechanically universal.
Declare the governing standard
A grade has meaning only within a system. '8' is incomplete unless the reader knows the category, scale, threshold rules, treatment of restoration, use of qualifiers, completeness rules, packaging treatment and whether eye appeal can modify the result. A collector-created ten-point scale is not automatically invalid, but it must be defined before others can interpret it.

A complete evidence-based grading workflow
The workflow below is deliberately sequential. Its value lies in preventing a hoped-for grade from organising the inspection backwards.
Identify the object correctly
Establish type, issue, edition, variant, material, expected construction, intended finish and original components. A normal production feature can otherwise be mistaken for damage, while later alteration can be excused as manufacture.

- Identify normal manufacturing irregularities before grading.
Declare the examination conditions
State whether the object was examined in hand, through a holder, inside packaging, from photographs, under magnification or with concealed areas. Access determines how much confidence the conclusion deserves.

Divide the object into condition axes
Inspect the object systematically rather than allowing its most attractive face to dominate. The relevant axes vary by category, but surface, edges, structure, completeness, originality, function and packaging often need separate attention.

- Grade components separately when one global grade would conceal too much.
Record defects before proposing a grade
For each material observation, note its type, location, extent, severity, likely origin, stability and image reference. Delaying grade language reduces anchoring and confirmation bias.
- Describe before evaluating.
- Distinguish active deterioration from stable historical damage.
- Photograph features that may control the grade.
Separate manufacture from later condition
Off-centring, print lines, mould seams, weak strikes, assembly marks and inherent material inclusions may originate in production. Wear, fading, moisture, corrosion, glue repair, trimming, repainting and resealing occur later. Different standards may treat production flaws differently, so origin and grading consequence must remain separate questions.

Identify the grade-limiting defect
Ask what prevents the next higher grade. A bright comic may have one decisive subscription crease; a sharp card may have a surface indentation; a fine book may be missing a plate; a clean coin may show improper cleaning.

- Is it severe, disqualifying or merely one of several cumulative flaws?
- Would removing that defect change the grade boundary?
Apply thresholds rather than impressions
Use the defined or established limits of the grading convention: permitted wear, maximum defect extent, centring tolerance, structural soundness, colour loss, completeness, restoration rules and qualifier triggers.

- Is the scale clearly named and category-appropriate?
Assess total condition without averaging away danger
A limiting defect may control the result, but the whole object still matters. Several minor flaws, visual balance, strength of unaffected areas and overall freshness can influence a borderline judgement where the standard allows it.
- Do cumulative flaws justify a lower result?
- Are you allowing strong eye appeal to conceal a serious defect?
- Are you allowing one trivial flaw to erase otherwise relevant strength?
Use qualifiers and non-standard outcomes when needed
The evidence may support restored, altered, qualified, incomplete, details, apparent, authentic-only, component-level or specialist-review outcomes rather than an ordinary grade. Forcing an object into a simple number can hide the issue that matters most.
- Does restoration or alteration change the grading route?
- Should packaging, contents or components receive separate grades?
- Is 'insufficient evidence' more defensible than a confident guess?
State the conclusion with an evidence summary
Record the grade, the standard, the principal supporting observations, the limiting defect, any alteration or completeness qualification, the examination limitations and an appropriate confidence level.

- Will the record still make sense after memory has faded?
Condition axes prevent front-face grading
Complex collectibles rarely reduce well to one undifferentiated impression. Condition axes force the examiner to inspect the parts of the object most likely to be overlooked and make it easier to separate overall presentation from completeness, structure and intervention.
Surface and finish
Scratches, abrasions, gloss or lustre, staining, print quality, paint loss, residue, polishing and altered texture.

Rubbing, rounding, chipping, dents, edge loss, compression and handling wear at vulnerable extremities.

Normal variation or warning sign?
Manufacture and later condition must be separated, but that separation is not always obvious. A feature can be original to production and still limit the highest grade. Another feature may imitate production while actually revealing replacement, cleaning or alteration.

Rough cutting, weak strike, mould seam, print line, assembly mark or original issue fold may be normal for the object or variant.
Normal does not always mean grade-neutral. Some systems still limit top grades for production flaws, but the feature should not be misdescribed as later damage.

A feature inconsistent with known manufacture
Finish mismatch, tool marks, unexpected fluorescence, altered dimensions, incompatible hardware, fibre disturbance or local surface differences may indicate replacement, cleaning or restoration.
When the origin affects value or grade materially, uncertainty should trigger more evidence or specialist review rather than confident classification.
The grade-limiting defect
Many grades are not determined by the average appearance of the object. One consequential defect can impose a hard ceiling even when most features are exceptional. The disciplined question is: what evidence prevents the next higher grade?

Do not turn 'limiting defect' into 'worst defect always wins'
Some standards use hard ceilings for certain defects. Others consider cumulative condition, overall strength and eye appeal within a permitted range. Evidence-based grading avoids both averaging away a serious defect and reducing a complex object to one trivial imperfection without reference to the actual standard.
Negative evidence and honest uncertainty
Collectors often confuse evidence that something is absent with failure to detect it. A numbered contents list showing twelve components when only eleven are present is positive evidence of incompleteness. 'No restoration was visible in the supplied photographs' is not evidence that restoration is absent.

The wording preserves the inspection limit instead of converting non-detection into certainty.
High confidence
Broad access and a clear standard
An unrestricted in-person examination, appropriate light and magnification, inspected components and no significant ambiguity can support a relatively firm conclusion.

Remote buying: ask for observable facts
'Is it near mint?' invites the seller to repeat a conclusion. Better questions ask for evidence that can support or challenge the claim.

Eye appeal and judgement
Evidence-based does not mean completely objective. A tear can be measured, a part counted and a seal observed as broken, but graders still judge severity, visual impact, threshold placement and whether one defect outweighs otherwise exceptional preservation. The goal is not to remove judgement. It is to constrain judgement with evidence.
The disciplined order
- Identify the physical evidence.
- Establish the technically supportable grade range.
- Consider eye appeal only where the standard allows judgement within that range.
Eye appeal may refine an evidence-based judgement. It should not erase restoration, missing components, cleaning or structural damage.
Bias control: protect the inspection from the story
Collectors are not neutral instruments. The best defence is not confidence but process: inspect before reading the claimed grade, record neutral observations, examine every axis and make the grade answer upward and downward questions.
Anchoring
The first grade heard becomes the reference point
Seller grade, auction estimate or previous certification can shape later observation. Record neutral condition evidence before reading the claimed grade where practical.
Ownership and purchase-price bias
The object feels as though it should justify the decision
Collectors often grade their own expensive purchases more generously. A written observation sheet creates distance between ownership satisfaction and condition judgement.
Rarity and authority bias
Scarcity or reputation is mistaken for condition
A unique object can be historically important and physically poor. A famous seller can still use a different standard or overlook a defect.
Halo effect
One attractive feature controls the whole impression
Strong colour, a beautiful front, sharp signature or impressive provenance can distract from restoration, hidden structure, reverse damage or missing components.
Confirmation bias
Only evidence supporting the hoped-for grade is noticed
The defence is procedural: inspect all axes, ask what prevents the next grade, and record evidence that argues both upward and downward.
Outcome bias
A high sale price is treated as proof of correct grading
Price reflects demand, scarcity, venue, timing, provenance and confidence as well as grade. Market outcome cannot retrospectively prove physical condition.
A practical blind-grading habit
Where practical, complete the observation sheet before viewing the seller's grade, asking price, auction estimate, previous certification or population rank. This will not eliminate bias, but it makes later influence easier to recognise.
Restoration, conservation and alteration
Grading must distinguish present appearance from material history. Restoration may add, replace or visually reintegrate material. Conservation usually prioritises stability and preservation, though appearance may also improve. Alteration changes the object without necessarily fitting accepted conservation or restoration practice.

Colour touch, piece infill, replacement pages, repainting, rebuilt corners, resealing, replacement labels or refinishing.

Stabilisation, structural support, controlled cleaning or treatment intended primarily to preserve the object.

Completeness and component-level grading
Completeness and condition are related but not identical. An incomplete item may contain exceptional surviving parts; a complete item may be heavily worn. Multi-component objects often need more than one overall grade because packaging, contents, documents, accessories and originality can diverge sharply.

This component-level record is more informative than 'overall 8/10' because it preserves the strengths, weaknesses and originality qualification separately.
Certification, grader notes and population data
Third-party certification is strong external evidence that a service examined the object and assigned a grade at a particular time. A holder and certification record may also protect the link between object and label. They do not prove universal agreement, unchanged standards, absence of concealed deterioration or that every attribute important to the collector was captured.

Notes can identify principal defects, location, restoration and reasons for qualification, but may not be a complete inventory of every minute feature.

Population reports can inform rarity within grade and market context, but resubmissions, selection bias, changing practice and low submission counts limit what they prove about one object.
Repeatability and reproducibility
Repeatability asks whether the same grader would reach a similar conclusion again under comparable conditions. Reproducibility asks whether another competent grader applying the same standard to the same evidence would reach a comparable result. Perfect agreement is unrealistic, but disagreement should arise around threshold interpretation and weighting, not because one examiner ignored the reverse, missed a component or used an undefined scale.
What a reproducible record makes possible
- A later review can identify whether the object changed or the judgement changed.
- Two graders can discuss the same evidence instead of defending unexplained impressions.
- Borderline decisions can be compared consistently across a collection.
- Disputes can focus on severity, origin or threshold rather than missing information.
A practical grading record
Documentation should be proportionate. A routine duplicate may require a short evidence note. A rare, restored, insured, disputed or high-value object needs a stronger record because the consequence of error is greater.

The value of the statement is not its length. It communicates what was assigned, which standard was used, what was examined, what supports the grade, what limits it and what remains uncertain.

Evidence-based grading depends on neighbouring collecting disciplines but should not absorb them. Clear boundaries prevent a condition grade from becoming a substitute for authenticity, valuation, preservation or treatment history.
