Suitable boxes, cabinets and rooms remain protective only while the collector checks that the object, its enclosure and the surrounding environment are still behaving as expected. A proper inspection is therefore not an occasional glance and not merely a condition grade. It is a disciplined comparison between the present state, a recorded baseline and the protective conditions intended for the collection.
The purpose is to recognise meaningful change early enough to respond while a problem is still localised, manageable and potentially reversible. That may mean finding a small mould patch before it spreads, noticing a shelf beginning to bow, recognising that a plastic sleeve has become tacky or establishing that a known crack has not changed at all. Boundary: inspection is not treatment
Inspection identifies, records and assesses. Cleaning, consolidation, corrosion removal, mould remediation, adhesive work and structural repair are separate preservation or restoration decisions. Finding dirt does not automatically make cleaning safe, and finding corrosion does not justify removing it to see what is underneath.
Safe immediate actions are limited to measures such as moving an unaffected box away from an active leak, supporting a collapsed enclosure or isolating a potentially infested item without spreading contamination. Treatment should not be improvised during the inspection itself.

A sustainable programme combines quick checks, detailed examinations and event-driven reviews rather than trying to inspect every object at the same depth and interval.
Routine visual inspection
Use when: A quick scheduled review is needed across a room, cabinet or group.
Use when: An object is acquired, catalogued, moved, displayed, returned, insured, sold, rehoused or suspected of changing.
Inspection emphasis: Written description, comparable photographs, measurements, mapped damage, enclosure assessment and handling or storage recommendations.
Triggered inspection
Use when: A leak, humidity excursion, pest capture, impact, power failure, building work, transport or unusual odour creates a specific concern.
Inspection emphasis: The affected zone and the materials most likely to respond to that event, rather than an unfocused inspection of everything.
Sample inspection
Use when: The collection is too large for frequent item-by-item examination.

Use when: The collector needs preservation priorities rather than a detailed report for every item.

Frequency
Build a risk-based inspection rhythm
The correct interval is the period within which meaningful change could occur without being missed. It is not a universal annual rule.
Frequent room checks
Weekly or monthly checks may be proportionate in basements, lofts, rooms with old plumbing, shared domestic spaces, seasonal damp, pest history or unreliable heating. These checks need not involve opening every box.
Rotating enclosure checks
Review one shelf, drawer, box group or material category at a time. Rotation spreads the work through the year and is more sustainable than an exhausting annual inspection that is never completed.
Detailed object checks
Examine at acquisition, before and after transport or display, during cataloguing or photography, after enclosure replacement and whenever evidence suggests condition change.

Gloves require judgement
Gloves are not automatically safer. Clean, dry hands may provide better grip for some stable paper and book materials, while suitable gloves are valuable for metals, photographs, contaminated objects and surfaces vulnerable to fingerprints.
The decision should follow the object's material, surface, contamination and dropping risk rather than a blanket rule.

Describe evidence precisely enough to compare later
The strength of an inspection record lies in its ability to support a future judgement, not in the amount of text written.
Weak record
“Rust is destroying the booklet.”
This combines observation, diagnosis and prediction without scale, location or comparison.
Stronger record
“Three irregular orange-brown spots, approximately 2–4 mm, are visible along the lower staple.”
This can be photographed, measured and compared without overstating the cause.

Photography
Photographs are evidence only when the method is controlled
A useful set may include an overall view, front and back, sides or spine, the enclosure, the identifying number, vulnerable areas, close-ups of concerns, a scale image and one image that shows each concern in context. Keep orientation, camera distance, lighting direction and background as consistent as practical.

Do not rely solely on image-library dates, which may change when files are copied or exported. Photographs should supplement written observations because odour, tackiness, looseness, movement and brittleness may not be visible in an image.

Rephotograph the 18 mm split at the lower spine in three months. Escalate if the split lengthens, surrounding material lifts or normal handling causes movement.
Material judgement
Different materials reveal risk in different ways
A general inspection route still needs material-specific emphasis. The cards below identify warning signs without turning the inspection into an improvised diagnosis or treatment session.

Look for new abrasion, displaced contents, crushed corners, glazing movement, pressure marks, tears, loose components and changed fit within the enclosure.
