Condition Change Checks

A condition change check is a repeated, structured examination designed to answer one question: has anything materially changed since this collectible was last inspected?It is not a fresh grade, a valuation, a complete catalogue of every old defect or a casual glance into a cupboard. Its purpose is to identify active deterioration, emerging damage and worsening storage risks while preventive action is still possible.

Storage slows deterioration; it does not suspend ageing. Paper continues to oxidise, metals can reactivate, adhesives fail, plastics exude, supports compress and a small leak can convert an apparently stable group into a recovery problem. The collector's advantage comes from comparison: old damage is history, but new or worsening damage is a decision point.

The central discipline

Do not ask only, "Does this look all right?"

Ask instead: "Is this different from the previous reliable record, how certain am I, and what does the difference require me to do?"

Change needs a baseline

Without a reference, a collector cannot reliably distinguish a new split from an old one, active corrosion from historic tarnish, or true fading from different lighting. Familiarity is not a substitute for evidence: slow deterioration often becomes visually normal, while an old mark can be mistaken for recent damage when memory is doing the comparison.

Create or refresh a baseline when

  • An object enters the collection or long-term storage.
  • It is rehoused, moved, treated, restored, loaned or prepared for transport.
  • It arrives with known instability, damp, pests, corrosion or questionable packaging.
  • Comprehensive photographs are taken for the first time.
  • A vulnerable material or component is identified later.

A useful baseline records

  • Identity, date, examiner and exact storage location.
  • Existing cracks, tears, losses, stains, repairs and deformation.
  • Surface, structure, packaging, supports and known vulnerable areas.
  • Evidence of mould, pests, corrosion or unstable materials.
  • Repeatable overall and detail photographs, including stored orientation.

Condition, change and risk are not the same thing

Condition

What state is the object in now? Example: a box has a 20 mm split at its upper hinge.

Change

What differs from the last examination? The split has grown from approximately 12 mm to 20 mm.

Risk

What future loss is plausible? Opening the lid now tensions the split and may cause complete separation.

Inspect from the storage system towards the object

Condition change rarely begins as an isolated blemish. The room, furniture, enclosure, support and object form one storage system. A sound check moves inward in that order so evidence is not disturbed and causes are not overlooked.

Room or storage area

Look first for leaks, damp, condensation, pests, dust, blocked ventilation, direct light, heat sources, unusual readings, building work, chemical odours and objects touching floors or external walls.

Shelf, cabinet or drawer

Check bowed shelves, failed runners, corrosion, leaning stacks, overcrowding, sharp edges, compressed packaging, water paths, shifted objects and debris in corners.

Enclosure and support

Examine boxes, sleeves, folders, trays, bags, wraps and mounts for crushing, staining, brittleness, moisture, adhesive failure, residues, pressure, looseness, fragments and incompatible contact materials.

Object and components

Move in a consistent sequence through overall shape, structure, edges, joins, surfaces, moving parts, interiors, undersides, contact points, labels and known previous damage.

The six condition axes

A repeatable check is easier when the collector uses the same broad axes each time. These are not grades. They are prompts that stop one obvious defect from drawing attention away from less visible but more active change.

Structure

Has the object's shape, integrity or load-bearing behaviour changed?

New or extending cracks, splits, sagging, warping, buckling, loose joints, failed hinges, detached parts or distortion under weight.

Surface

Is original material becoming loose, altered, deposited or transferred?

Flaking, powdering, lifting, blistering, abrasion, sticky residues, bloom, haze, stains, tide lines, corrosion products or fragments in the enclosure.

Colour

Is there credible evidence of fading, darkening, staining or chemical colour shift?

Uneven fading, yellowing, bleaching, tarnishing, whitening, dye transfer or discolouration around adhesives, plastics and fasteners.

Texture & flexibility

Has the material become harder, softer, more brittle, gummy or tacky?

Cracking, crazing, embrittlement, softening, tackiness, loss of flexibility, powdery surfaces, collapsed foam or adhesion to packaging.

Dimensions & fit

Has the object, support or enclosure changed size or relationship?

Curling, swelling, shrinking, cupping, tighter packaging, new gaps at joins, displaced mounts, compressed supports or growing pressure points.

Biological activity

Is there evidence of mould, insects, rodents or other living agents?

Fresh holes, frass, webbing, larvae, cast skins, fuzzy or powdery growth, musty odour, grazing, droppings or recent dampness.

Evidence, meaning and collector risk

The strongest observations describe what is physically present before attempting to name the cause. This protects the record when an early interpretation later proves wrong and helps a specialist understand what the collector actually saw.

Loose powder beneath an object

Evidence

New orange-brown, green, white, black or material-coloured particles appear inside the enclosure or directly beneath a component.

What it may mean

The debris may be active corrosion, degraded foam, brittle plastic, insect frass, detached pigment or fragments from a failing repair.

Collector risk

Discarding or cleaning it before recording may remove the clearest evidence of active change and its source.

A new or stronger odour

Evidence

A musty, vinegar-like, solvent-like, camphor-like, oily, sulphurous or electrical smell is localised to one enclosure or group.

What it may mean

Odour can indicate moisture, mould, polymer breakdown, acetate decay, battery or electrical failure, or an incompatible storage product.

Collector risk

Odour is a warning signal, not a diagnosis. Repeatedly opening or closely smelling a container may expose the collector or spread contaminants.

Packaging becomes tight or distorted

Evidence

A sleeve grips the surface, a tray bows, a lid no longer closes freely, or pressure marks appear where none were recorded before.

What it may mean

The object, packaging or support may have swollen, shrunk, warped or shifted. An original insert may also be collapsing or exerting pressure.

Collector risk

Continued compression can abrade surfaces, extend tears, transfer plasticisers, deform boxes and make later removal hazardous.

A familiar crack looks worse

Evidence

The crack appears longer, wider, brighter at the edge, associated with lifting, or newly reaches an edge or joint.

What it may mean

The defect may be active rather than historic, but lighting and viewpoint differences must first be excluded.

Collector risk

Unmeasured impressions encourage both complacency and overreaction. Compare fixed reference points and repeat photographs before intervening.

Nearby objects show similar change

Evidence

Several items in one drawer, shelf or box develop staining, corrosion, tackiness, pest evidence or mould at roughly the same time.

What it may mean

A shared environmental event, enclosure material, pollutant, pest source or degrading component is more likely than isolated object failure.

Collector risk

Treating one item without investigating the group leaves the underlying cause active and may allow damage to spread.

The object looks different in photographs

Evidence

Colour, gloss, tarnish, deformation or staining differs between current and earlier images.

What it may mean

Real change is possible, but camera angle, white balance, lighting direction, compression and background colour can create false differences.

Collector risk

Photography should support written observation, not become automatic proof. Uncertainty should trigger controlled re-observation, not aggressive testing.

Observation before interpretation

Record this

"Three small areas of loose orange-brown powder beneath the steel fastener; no powder is visible in the enclosure photographs dated 14 January 2025."

Then qualify the interpretation

"Possible active corrosion. Confidence: moderate. Object isolated pending repeat examination and review of recent humidity data."

Material-specific warning signs

A mixed collection may contain paper, board, leather, textiles, metals, plastics, foams, wood, glass, paint, adhesives and electronics in a single object. The same room can be acceptable for one component while another begins to fail. Material awareness therefore changes both what the collector looks for and how urgently a finding is treated.

Paper, card, books & boxed games

  • New tears, edge losses, cockling, tide lines, mould, fading, yellowing or adhesive staining
  • Loose sections, failing hinges, text-block sag, rusty staples or pressure from inserts
  • Fresh pest holes, grazing, blocked pages, delamination or distortion of boxes and internal trays

Collector judgement: Inspect the complete system: outer packaging, internal trays, manuals, maps, counters, labels and contact points can deteriorate at different rates.

Photographs, negatives & film

  • Fading, colour shift, silver mirroring, image cracking, emulsion lifting or blocking
  • Curling, channeling, brittleness, sticky film, layer separation or enclosure staining
  • Vinegar-like odour or strong localised chemical emissions

Collector judgement: Layered photographic materials can be unusually sensitive. Strong odour, stickiness or distortion can indicate active chemical deterioration requiring isolation and specialist advice.

Metals

  • Fresh rust, loose powder, green or blue deposits, white corrosion, pitting or flaking
  • Recurring corrosion beneath coatings or around fasteners
  • Staining of adjacent paper, card, foam or textiles

Collector judgement: The key distinction is old stable corrosion versus new or recurring activity. Loose, bright or spreading products deserve a shorter review interval and drier, separated storage.

Plastics, rubber & foams

  • Yellowing, cloudiness, warping, shrinkage, cracking, crazing or embrittlement
  • Stickiness, oily exudate, droplets, powdering, foam collapse or adhesion to sleeves
  • Chemical odours, nearby metal corrosion or staining of paper

Collector judgement: Transparency is not proof of safety. Degrading polymers can release substances that damage adjacent components long before catastrophic failure is visible.

Painted, printed & coated surfaces

  • Lifting, cupping, flaking, powdering or cleavage between layers
  • Gloss change, tackiness, blanching, imprinting or colour transfer
  • Fragments gathering in the enclosure

Collector judgement: Do not press lifted material back into place or add household adhesive. Stabilise orientation, retain fragments and seek advice before movement causes further loss.

Textiles, leather & skin

  • Fraying, seam opening, fibre loss, stretching, permanent creasing or insect grazing
  • Powdery leather, cracking, stiffness, shrinkage, mould or flaking finishes
  • Corroding fasteners and transfer from coloured tissue or packaging

Collector judgement: Folds, weighted areas, stitched joins and contact with metal, rubber or acidic card are high-value inspection points. Apparent dryness alone is not a reason to apply dressings.

Wood, glass, ceramics & stone

  • Splitting, checking, warping, loose joints, lifted veneer, fresh insect powder or resin exudation
  • New chips, crack growth, unstable repairs, detached fills, salts, surface flaking or condensation
  • Pressure from mounts, abrasion at contact points or fragments inside packaging

Collector judgement: Mark crack development on an annotated image or diagram, not on the collectible. Old insect holes are not active evidence without fresh powder, insects or new material loss.

Composite objects & electronics

  • Metal fasteners corroding into card, rubber staining paper or foam adhering to paint
  • Plastic shrinking around metal, wood movement cracking coatings or adhesive failure between layers
  • Battery leakage, heat damage, electrical odour or corrosion around contacts

Collector judgement: Mixed materials rarely deteriorate in isolation. Inspect interactions between components and remove or isolate hazards only when this can be done safely and without sacrificing evidence.

Boundary: diagnosis is not restoration

A condition check should not become an improvised treatment session. Cleaning corrosion, flattening paper, pressing down paint, taping tears, polishing metal, oiling mechanisms, applying fungicide or freezing an unknown composite object can remove original material, conceal evidence, accelerate damage or reduce collectable value.

The storage task is to observe, document, contain immediate hazards and improve conditions safely. Treatment choices belong within preservation or restoration guidance and, where consequences are significant, with a suitably experienced conservator.

Collector scenario: the apparently stable boxed game

A collector removes a boxed game from a cabinet during an annual review. The lid looks unchanged, but a small quantity of dark foam-like debris sits beneath one corner. Earlier photographs show none. The internal tray has compressed, one painted miniature is touching the foam, and a faint tacky patch has appeared on its base.

The immediate temptation is to brush away the debris and replace the tray. A better response is to photograph the object as found, retain a sample of the debris, separate the miniature from direct contact, inspect the other contents and nearby boxes, and record the foam as a suspected active source rather than an established diagnosis.

The significant discovery is not simply that the insert is old. It is that the storage relationship has changed: support is failing, material is shedding and transfer to an original surface may have begun. That turns an incidental observation into an amber or red action, depending on whether tackiness and transfer are confirmed.

How often should condition checks happen?

There is no universal interval. Frequency should rise with material vulnerability, known instability, variable storage, recent incidents, poor housing, pest exposure, structural load, significance and the consequences of failure. Repeated handling is itself a risk, so the aim is not to inspect everything as often as possible; it is to inspect each group often enough to reveal meaningful change.

High risk or changing

Review every few weeks or monthly until stability is demonstrated.

Examples: fresh mould, active corrosion, leaking batteries, sticky plastics, pest quarantine, unstable paint or recent water exposure.

Vulnerable but stable

Review roughly every three to six months, adjusted for environment and evidence.

Examples: degrading film, rubber, foam, sensitive photographs, mixed materials or objects in lofts, basements and other variable spaces.

Stable and well housed

An annual check may be proportionate, with immediate review after incidents.

Large low-risk groups can be placed on a rolling programme by room, cabinet, material, risk class or collection segment.

These are practical collector intervals, not universal conservation standards. A new enclosure or storage arrangement should be reviewed sooner: immediately after rehousing, again after several weeks, after a seasonal change, and only then moved onto its normal schedule.

Event-triggered checks

Calendar schedules cannot anticipate every threat. An early inspection should follow any event capable of changing exposure, support or handling risk.

Pest or mould discovery elsewhere

Conduct the examination without creating new damage

Prepare before opening

  • Use a clean, stable examination area with suitable lighting and supports.
  • Have previous records, camera, scale, ruler and temporary labels ready.
  • Remove food, drinks, jewellery and loose objects.
  • Prepare quarantine materials before examining a known high-risk item.

Observe before moving

  • Photograph the stored orientation and any debris or pressure points first.
  • Move one side or component at a time and only as far as necessary.
  • Do not flex, operate, unfold or dismantle merely to complete a checklist.
  • Record inaccessible areas as limitations rather than forcing entry.

Specialist threshold

Stop routine examination and seek competent advice when movement may release original material, expose hazardous contamination, spread mould or pests, disturb leaking batteries, separate blocked surfaces, worsen lifting paint, or cause an unstable object to collapse.

Uncertainty is not failure. Recording "not safely accessible" or "possible active change - specialist review required" is better practice than forcing a definitive answer through damaging handling or testing.

Recording change so another inspection can test it

A useful record answers what changed, where it is, how extensive it is, when it was detected, how certain the observation is, whether activity is suspected, what was done and when the item will be reviewed again. "Poor" and "getting worse" are conclusions without evidence; precise neutral language creates a comparison point.

Record absence of change as well as damage. Repeated "no observable change" entries show that the object was actually examined and help establish a rate of deterioration. Historic records should remain visible rather than being overwritten by a single current-condition field: condition is a chronology.

Photography, mapping and measurement

Repeatable photography

Use the same orientation, viewpoint, distance, lighting and neutral background where possible. Retain unedited master files and link details to the main object record.

Damage mapping

Mark cracks, losses, stains, corrosion, lifting and distortion on an outline diagram or annotated image. Never mark endpoints directly on the collectible.

Proportionate measurement

Measure between fixed reference points and use honest approximation. "About 12 mm" is better evidence than false precision around an irregular boundary.

Read the trajectory, not just the latest finding

Stable

No detectable change across repeated inspections. Maintain the established schedule and storage controls.

Slow progressive change

Yellowing, warping, recurring tarnish, adhesive staining or brittleness increases gradually. Improve storage before the issue becomes urgent.

Episodic change

Damage appears after humid summers, winter heating, condensation events or pest seasons. Link the pattern to environmental and building records.

Sudden active change

Fresh mould, rapid corrosion, paint loss, liquid exudation, battery leakage, blocking or structural collapse requires immediate containment and escalation.

Apparent change

Lighting, camera settings, dust removal, orientation or observer terminology creates a difference without confirmed deterioration. Repeat under controlled conditions.

Boundary: environmental data supports, but does not prove, object change

Temperature, relative humidity, light, leak history, pest traps and building events explain exposure and help identify causes. They do not by themselves demonstrate that an object changed. The strongest conclusion joins both sides: environmental evidence shows what may have happened; comparative condition evidence shows whether observable damage followed.

Action hierarchy

Green - no observable change

The object, enclosure and storage context remain materially consistent with the last reliable record.

Typical examples

  • No new debris
  • No measurable extension of damage
  • Supports remain correctly positioned

Proportionate response

  • Record that the inspection occurred
  • Return the object to the same safe orientation
  • Retain the normal risk-based schedule

Amber - minor or uncertain change

A possible or limited change exists, but activity, cause or significance is not yet certain.

Typical examples

  • Slight possible warping
  • Small unexplained debris
  • Faint new odour
  • Early enclosure failure

Proportionate response

  • Photograph and describe precisely
  • Compare against earlier records under controlled conditions
  • Shorten the inspection interval
  • Review environmental and nearby-object evidence
  • Improve support only where the action is low-risk and reversible

Red - confirmed active deterioration

New, recurring or worsening damage is credible and continued exposure or handling could increase loss.

Proportionate response

  • Stop unnecessary handling
  • Isolate or support the object according to the hazard
  • Protect nearby objects from contamination or transfer

  • Seek material-appropriate conservator or specialist advice

Emergency - people and collection at immediate risk

The incident involves active water, collapse, widespread mould, smoke, hazardous contamination or an object likely to fail during normal movement.

Typical examples

  • Water ingress
  • Shelf collapse
  • Rapidly leaking battery
  • Fire or smoke exposure

Proportionate response

  • Protect people first
  • Stop or contain the source when safe
  • Restrict access and prevent spread
  • Record the scene before recovery where circumstances allow
  • Escalate to emergency, building, insurance and conservation support as appropriate

Isolation without creating a worse microclimate

Isolation is appropriate when an item may spread mould or pests, shed corrosive or contaminated material, release damaging emissions, leak liquid, transfer plasticiser, stain neighbours or fragment extensively. The method must match the hazard.

Match containment to the problem

  • Pests may require secure containment and identification.
  • Suspected mould needs dry, controlled separation rather than indefinite sealing while damp.
  • Acidic or exuding plastics may require separation and ventilation.
  • Active corrosion generally benefits from dry isolation.
  • Shedding objects need a supportive tray that retains fragments.

Keep quarantine legible

  • Label the item, hazard and date clearly.
  • Link quarantine status to the object record.
  • State what must happen before return to normal storage.
  • Set a review date so temporary isolation does not become forgotten abandonment.

Myth versus reality

Myth: valuable objects deserve all the attention.

Reality: a low-value object can introduce pests, mould, leaking batteries or unstable plastic that threatens an entire group.

Myth: if the enclosure looks clean, the object is safe.

Reality: hidden surfaces, internal trays, contact points and sealed microclimates can deteriorate first.

Myth: a photograph proves colour change.

Reality: lighting, processing and viewpoint can create apparent fading, gloss change and staining.

Myth: conservation-grade packaging removes the need to inspect.

Reality: suitability depends on fit, material, construction and ageing; supports can compress and enclosures can become hazardous.

Myth: more frequent inspection is always better.

Reality: unnecessary handling can create more damage than the risk being monitored. Frequency should be evidence-led.

Myth: finding damage means it should be repaired immediately.

Reality: documentation, isolation and improved storage are often safer than uncontrolled restoration.

Documentation checklist

Before handling

Has the room, shelf, cabinet or enclosure changed?

Were findings separated into observation, interpretation and action?

Are photographs, measurements, confidence and examiner recorded?

Is isolation, cause investigation, specialist advice or earlier follow-up required?

Prioritising a large collection

A mature programme works at four scales: detailed object checks, representative sample checks, shelf or cabinet checks, and room-level checks. Sampling should not repeatedly select only the easiest items to reach. Priority normally goes to active deterioration, unstable plastics or batteries, previous water or mould exposure, pest-susceptible materials, mixed objects, structural load, poor enclosures, variable environments and irreplaceable items.

A workable rolling programme

Divide the collection by room, cabinet, material, risk class, acquisition year or collection segment. Continue routine room and pest checks throughout, then add immediate inspections whenever an incident or warning sign falls outside the planned cycle.

Digital records can support reminders, side-by-side images, vulnerable-material tags, quarantine status, storage-move history and overdue actions. They should preserve earlier observations rather than replacing them with a single current statement such as "good condition."

The core principle

The purpose of condition monitoring is not to prove that a collection remains perfect. It is to create a reliable chain of observation:

baseline → repeated comparison → detected change → proportionate response → follow-up

The strongest system is not necessarily the most technical. It is the one that makes subtle change visible before deterioration becomes loss, records uncertainty honestly and turns credible evidence into timely action.
