Labelling Enclosures
A protective enclosure label is the physical bridge between a collectible, its housing and the collector's records. A good label allows an object to be identified, retrieved, reconciled and handled correctly without repeatedly opening the enclosure or exposing the collectible. It is therefore part of the storage system, not an administrative decoration added after the preservation work is complete.
Poor labelling can introduce its own hazards: migrating adhesive, solvent-rich ink, pressure marks, detached labels, orphaned components, false warnings and contradictory records. The safest default is to label the removable housing - a box, folder, sleeve, capsule, tray, portfolio, backing board, tag or outer container - rather than altering the collectible itself.

Ownership stickers, adhesive barcodes and inventory labels should not be placed directly on original packaging, printed ephemera, books, comics, photographs, textiles, painted surfaces, sensitive plastics, coins with vulnerable patina, autographed items or any surface whose research or market value depends on being untouched.
Products described as removable can still stain, pull fibres, disturb coatings or leave residues. A secondary protective enclosure is the correct information carrier in most private collections.

The identifier should remain valid when the title is corrected, the object is regraded, the collection moves or the storage system is rebuilt.
The useful minimum
For a single-object enclosure, the useful minimum is usually a unique identifier, a short object title and - where necessary - a location, sequence or component reference.

Significant versus neutral numbering

Materials and methods
Choose a label method by failure mode
No pen, sticker or printer is preservation-safe in the abstract. Suitability depends on the complete label system, the enclosure surface, proximity to the object and the intended storage environment.
Graphite pencil
Paper folders, paper labels and many preservation-quality board enclosures.
Strengths
- No liquid carrier or solvent
- Low migration risk
- Readable and usually correctable
- Simple to duplicate beneath a printed label
Cautions
- Heavy pressure can emboss the enclosure and mark the object
- Very soft graphite can smudge or transfer
- Very hard pencils can score the surface
For ordinary paper-enclosure labelling, a clear medium graphite pencil such as HB is often the most dependable starting point.
Pigment-based pen
The outside of an appropriate paper enclosure when pencil is not legible enough and the writing surface is safely separated from the object.

- The phrase 'acid-free pen' is not a complete specification

Laser-printed label
Consistent, structured labels for boxes, folders and larger managed collections.
Strengths
- Crisp text and barcode definition
- Fast repeat production
- Good resistance to casual moisture after printing
Cautions
- Toner may crack on folds
- Heat and pressure can encourage transfer
- Adhesive and label stock may fail before the print does
Treat the label as a system of paper or film, toner, adhesive and sometimes laminate - every layer matters.
Inkjet-printed label
Descriptive labels where the printer, ink and stock have been tested together.
Strengths
- Flexible layouts and excellent resolution
- Easy colour coding and pictograms
- Widely accessible for private collectors
Cautions
- Dye inks may fade or bleed
- Moisture can cause transfer
- Drying behaviour varies considerably
Pigment ink is generally preferable to consumer dye ink, but the complete printing combination still requires judgement.
Pressure-sensitive adhesive label
The exterior of a sound outer enclosure when a removable carrier is impractical.

- Efficient and easy to standardise
- Supports machine-readable codes
- Can be replaced without rewriting a whole container
Cautions
- Adhesive may yellow, creep, ooze, stain or detach
- Unknown adhesives can affect paperboard and plastics

Use outside the object zone, duplicate the identifier directly on the enclosure and include adhesive failure in routine inspections.
Direct-thermal label
Short-lived workflow or dispatch labels, not permanent collection identity.

Never make a direct-thermal barcode the only long-term identifier on a collection enclosure.

Myth
A permanent marker stays readable forever, and an archival adhesive label is automatically safe for any storage enclosure.
Reality
Markers may bleed, fade, remain tacky or affect plastics. Adhesives may ooze, stain, embrittle or detach. Product claims must be replaced by meaningful information about ink, stock, polymer, adhesive and environmental performance.

A method that works well on paperboard may fail completely on a low-energy plastic or create removal damage on a rigid display case.

Write in medium graphite before inserting the object, or use a tested printed label or external pocket. Support the board while writing.

Heavy pressure, saturated markers, labels positioned directly over the object and writing through a filled enclosure.
Polyethylene

Use a mechanically retained pocket, external tag, compatible printed label or a labelled outer box because many inks and adhesives adhere poorly.

Metal or wood container

Use an external holder or mechanically retained label and assess the container itself for corrosion, emissions and environmental suitability.

Assuming an 'archival' label makes an unsuitable metal or wooden container preservation-safe.

Three situations where labelling prevents collection loss
The most valuable labelling decisions appear where objects, containers and records can drift apart.
A boxed role-playing set with separated contents
A boxed game contains the main box, rulebook, maps, dice, inserts and a fragile original retail carton. The components cannot all be housed safely together.
Collector response
- Assign one parent identifier to the complete collectible.
- Give each physically separate package a component suffix and description.
- State the known total, such as 'Part 2 of 4'.
- Record every component relationship and storage location in the catalogue.
- Label the secondary enclosure, not the original retail packaging.

A shelf of visually identical archival boxes
Twenty boxes look the same. Their lids can be removed and exchanged, and several contain similar publications from overlapping years.

- Place the primary identifier on the outward-facing body, not only on the lid.
- Use a box number, concise contents description and identifier range.
- Add a duplicate label on a second visible face if storage orientation may change.
- Write a basic identifier directly on the box beneath or beside any adhesive label.

Every physically separate package should show the parent identity, its own component suffix and a plain-language description.

- Use a broad item range without recording missing numbers.

Mixed contents require more than a broad box title
A label such as "assorted memorabilia" may conceal photographs, acidic paper, soft plastics, metal objects and painted components that should not share one microenvironment. Labelling must not disguise a compatibility problem.
Use a contents list, identifier range, compartment diagram or digital container record - and separate incompatible materials before improving the label.
Handling communication
Turn generic warnings into operational instructions
A useful hazard label tells the handler what is vulnerable and what action is required. It does not substitute for correcting unsafe housing.

General grades and detailed condition descriptions usually belong in the catalogue because they change and may be disputed. A practical enclosure warning can still identify an immediate handling risk such as a loose cover, detached handle, broken glass, powdering surface, active flaking or friable corrosion.
The label should help the next person avoid damage. The full condition report should explain the extent, cause, evidence and review history.
Digital systems
Use barcodes and QR codes as pointers, not replacements
Machine-readable labels improve inventory control, but digital convenience should not make physical identity dependent on one scanner, URL or software platform.
Barcode
Compact, quick to scan and suitable for simple identifier lookup. It requires a clean print area and should be paired with readable text.
QR code
Holds more data and tolerates some damage, but should normally contain only a neutral identifier or stable internal record address.
RFID
Useful in high-volume systems but rarely necessary for ordinary private collections. Cost, detachment, metal interaction and future readability remain relevant concerns.

Seek suitable removal advice when it is attached to the collectible or a sensitive original enclosure. Photograph and record it first.
Identifier corrections need an audit trail
Replace a damaged or incorrect descriptive label cleanly, but retain the same stable identifier unless the identifier itself was genuinely assigned in error.
Never quietly reuse an existing number for a different object. Record the former number, corrected number, date and reason so that photographs, receipts and prior records can still be reconciled.

Confirm the catalogue record
Create or verify the stable unique identifier before producing the label. Do not invent a temporary identity from the current shelf position.

Confirm that the enclosure is appropriately sized, supportive, chemically suitable and compatible with the intended environment. A label cannot make a poor enclosure safe.
Define every label level
Decide whether identity is needed at the object, component, folder, tray, box, shelf or room level. Add only the levels needed for reliable navigation and control.
Separate permanent and changeable data
Keep the identifier and stable title on the permanent label. Put location, loan status, valuation, treatment priority and other changeable information in the catalogue or a replaceable carrier.
Prepare the empty enclosure
Write, print or attach labels before inserting the collectible. Allow ink and adhesive components to dry or settle, then inspect the enclosure interior.
Add controlled redundancy
Retain human-readable identity even when using barcodes or QR codes. Duplicate critical identity where a detachable label, lid or carrier could fail.
Check components and exceptions
Verify suffixes, part counts, missing numbers in ranges and separate locations. Never let a broad range imply that every item is present when exceptions are known.
Insert and verify
Place the object into the prepared enclosure, check that the label creates no pressure point, and reconcile the visible identifier against the digital record.
Record the location
Update the catalogue with the current container and storage position. Location belongs to the record even when a shelf code also appears on the enclosure.
Review in service
Inspect labels for fading, smudging, lifting, staining, adhesive ooze, broken ties, barcode failure and disagreement with the catalogue.

The embedded data becomes stale. A code should normally resolve a stable identifier to the current record instead.

Accessories, manuals and original packaging become orphaned even though the main item remains correctly catalogued.
Removing old labels automatically
Dealer, auction, exhibition or previous-owner labels may preserve provenance, attribution or historical pricing evidence.
Displaying value or security data
Purchase price, current valuation, home address and insurance details disclose information that belongs in controlled records, not on an exposed box.
The deeper preservation principle
The best enclosure label does not compete with the collectible. It quietly establishes identity, relationship, location and instruction. A collector should be able to look at the housing and know what it contains, where it belongs and whether special care is required without repeatedly exposing the object.
That is the true preservation value of labelling: not the ink, sticker, barcode or software, but the reduction of uncertainty, unnecessary handling and preventable separation.

Seek conservation or collections-management advice before removing labels from an original object, sensitive coating, photographic surface, historic packaging, fragile patina or repaired material. Direct object marking, adhesive removal and hazard labelling for chemically unstable materials sit beyond routine private enclosure labelling.
