Recording Materials and Methods Used
A restoration record should allow somebody who was not present to reconstruct what was done to a collectible. It must identify introduced materials, explain how they were prepared and applied, show where they are located, describe what was removed or permanently altered, and preserve the limits of any claim that the work is reversible.
Phrases such as cleaned, repaired, archival materials usedor professionally restored describe an outcome without preserving the treatment. For future owners, conservators, valuers and researchers, that missing detail can turn a previously manageable intervention into experimentation on the object itself.
Core principle
The treatment material is only one part of the intervention.
Its formulation, preparation, physical form, application, location, treatment conditions, sequence and interaction with original material are equally important. Naming a resin or adhesive without those facts may still leave the restoration technically unreadable.
Evidence
A product name is only the beginning
The record should identify the material, formulation, concentration, carrier, preparation, location and date. A future reader must know what is actually present, not merely the brand printed on a container.
Meaning
Method determines behaviour
The same adhesive may remain as a surface film, penetrate a porous body, sit above a barrier layer or be driven into a join by heat and pressure. Those are materially different interventions.
Collector risk
Unrecorded work becomes technically opaque
A visually successful repair can later become a treatment hazard, valuation problem or disclosure dispute when nobody can identify what was added, removed or altered.
Understanding the record
Reversibility depends on what happened, not what the label promised
Absolute reversibility is rare. Cleaning permanently removes material. Adhesives can penetrate fibres or pores. Consolidants remain within weakened surfaces. Heat, moisture, pressure and mechanical manipulation can reshape original material even when no added substance remains. A solvent that dissolves an adhesive may also swell an original coating or extract colour.
The more useful questions are whether an intervention remains removable, retreatable, distinguishable, mechanically separable, chemically accessible and compatible with likely future treatment. Documentation does not guarantee those qualities, but it enables a later practitioner to judge them without beginning from ignorance.
Vague claim
"Repaired with reversible resin"
This omits the resin grade, solvent, concentration, preparation, location, penetration, barrier layers, curing conditions and limits of removal.
Useful treatment entry
"Paraloid B-72, 15% weight/volume in acetone and ethanol, 4:1"
The entry should continue with the preparation date, application method, location, barrier layer, cure and any observed response of the original surface.

What to record about every introduced material
The standard is not bureaucratic perfection. It is enough precision for another competent person to understand what is present, where it is, how it got there and which future options may remain. Commercial products can be reformulated without a change of brand name, so manufacturer, grade, date and batch can be significant.

- Thickness, density, weave, hardness, particle size or weight where significant
Location and extent
- Exact areas treated or excluded
- Whether the material sits on, beneath or within original material
- Depth or penetration where known
- Annotated photographs, diagrams or condition maps
- Whether the treatment is local, repeated or continuous across a surface
Method, not merely material
Record the procedure that changed the object
A low-risk material can become damaging when used at excessive concentration, temperature, pressure or duration. The report should describe preparation of the object, tools, application method, treatment conditions, drying or curing, and the order in which each layer or operation occurred.
Temporary steps also belong in the record. Facing tissue, masking, humidification, suction, restraint or a temporary adhesive may be removed before completion while still leaving a physical or chemical effect on the original surface.

Prepare and protect
Record dismantling, facing, masking, support, humidification, restraint, surface preparation and temporary barriers.
Test and decide
Record spot tests, analytical results, mock-ups, rejected options and the evidence supporting the chosen method.
Apply in sequence
Describe the order of cleaning, isolation, adhesion, filling, retouching and coating because later removal encounters those layers in reverse.
Record deviations
State what changed from the proposal, why it changed, who authorised it and what new consequences or limitations followed.
Map the finished intervention
Show what remains original, restored, replaced, concealed, unstable or subject to future monitoring.
Diagnostic recording priorities
Different interventions create different documentation risks
The report should become more detailed where an intervention removes evidence, penetrates original material, conceals loss, modifies structure or may later be mistaken for original manufacture. These cards identify the minimum facts that make each treatment family intelligible.
Cleaning and reduction
Usually the least reversible category because removed material cannot be reinstated.
- What was intended to be removed, what was actually removed and what was deliberately retained
- Brush, vacuum, abrasive, eraser, solvent, water, surfactant, enzyme, gel or poultice used
- Mixture, grade, pH, conductivity, contact time, rinsing, clearing and drying
- Areas excluded and any change in gloss, colour, texture, translucency or surface evidence
Adhesives and structural repairs
Adhesives can penetrate, cross-link, shrink, discolour, embrittle or obstruct later separation.
- Join preparation, barrier layers, quantity, application method and open time
- Alignment, clamping, pressure, curing and excess-removal method
- Every old and new join, load-bearing area and retained previous adhesive
- Any pin, screw, staple, wire, dowel, stitch or armature, including drilled or cut original material
Fills, replacements and reconstruction
A plausible modern addition may later be mistaken for original manufacture.
- Fill binder, bulk material, reinforcement, moulding and attachment method
- Source of the replacement: surviving counterpart, another example, photograph, drawing, scan or inference
- Shaping, texture, pigment, coating and any isolating layer
- How the introduced part is expected to remain distinguishable under examination
Retouching and visual reintegration
Retouching can conceal abrasion, loss, replacement, structural joins and the true extent of damage.
- Exact retouched zones and the purpose of each intervention
- Medium, pigments, dyes, concentration, solvent and application technique
- Isolation beneath and protective coating above
- Whether the work tones a fill, reintegrates abrasion, reconstructs design or overpaints intact original material
Coatings and consolidation
A separate coating may be removable, while a consolidant penetrating original structure may never be fully extractable.
- Identity, formulation, number of coats or applications and treated boundaries
- Penetration method, depth, surface film, darkening, gloss, stiffness or residual tack
- Original coatings retained beneath and anticipated removal system
- Unsuccessful tests that produced staining, swelling, tidelines or inadequate adhesion
Heat, moisture, pressure and reshaping
No added material is required for an irreversible change to occur.
- Moisture source, purity, humidity, temperature and duration
- Pressure, weight, restraint, support materials and drying method
- Resulting dimensional change, stress whitening, cracking or surface alteration
- Whether flattening or reshaping may have erased evidence of manufacture, use or storage
Collector scenario
The repaired ceramic that cannot safely be dismantled
A ceramic figure has two original fragments rejoined around a triangular loss. The invoice says only "professional invisible repair". Years later, the join yellows and a conservator is asked to remove it. No one knows whether the adhesive is an acrylic, epoxy or cyanoacrylate, whether it penetrated the break edges, whether a barrier layer was applied, or whether the replacement section contains a metal pin.
The conservator must now test solvents and mechanical access on original material. A complete record would have shown the adhesive formulation, every join, the fill boundary, any drilling, the assembly sequence and the safest anticipated separation method.
The failure is not that the repair became difficult. The failure is that its difficulty and construction were not transferred to the next custodian.
Preservation and restoration boundary
Document what was removed, not only what was added
Cleaning, stripping, polishing, corrosion reduction and removal of previous repairs can destroy or erase material that cannot be returned. The record should therefore distinguish intended removal from actual removal, explain what was deliberately retained, and note unexpected evidence exposed during treatment.
Earlier restorations may themselves form part of an object's biography. Before they are altered, photograph and map their location, record any evidence of date or maker, describe tests and removal methods, and retain labelled samples where appropriate.
Documentation cannot replace patina, paint, fibres, plating, tool marks or historic residues. Its role is to preserve the intellectual evidence of what no longer exists.
Testing and uncertainty
Record how the method was chosen, including what did not work
A defensible treatment report separates confirmed identification from probability, trade-name information, restorer inference, owner-supplied information and unresolved uncertainty. Spot tests, microscopy, ultraviolet examination, pH readings, X-ray, material analysis, mock-ups and adhesion trials should be recorded in proportion to the object and intervention.
Negative results matter. A solvent that moved colour, an adhesive that failed, a cleaning method that created gloss or a test that remained inconclusive may prevent a future practitioner from repeating the same harmful experiment.
Record the proposal
State the intended methods, materials, treatment limits, alternatives and owner approvals before work begins.
Record the deviation
State what changed after hidden conditions were discovered, why the change was made, who authorised it and how it altered the expected outcome or risk.

A competent future reader can identify what was original, what was removed or added, where it is, how it was prepared and applied, what failed, what remains vulnerable and how the work might be revisited.
Weak record
Describes the result, not the treatment
An invoice, two polished photographs and phrases such as 'minor restoration', 'archival materials' or 'reversible adhesive' do not reveal the technical reality of the work.
A strong record lets a future reader answer:
What was original?
What condition was it in?
What was removed?
What was added, and exactly where?
How were materials formulated and prepared?
How were they applied?
What physical or chemical conditions were involved?

What changed during treatment?
What remains vulnerable?

Action hierarchy
Match the depth of documentation to significance and treatment risk
Minimum
Create an object-linked treatment note
Identify the object, its pre-treatment condition, the treatment purpose, materials, methods, locations, final condition, practitioner and treatment dates.
Better
Add formulation, sequence and mapping
Record concentrations, carriers, operating conditions, treatment order, test results, introduced-material boundaries and before-during-after photographs.
Highest confidence
Preserve a conservation-grade record package
Include technical reports, plain-language disclosure, product data, analytical results, samples, authorisations, image masters, version history and exportable structured data.
Specialist threshold
When a more extensive conservation-grade record is warranted
The greater the significance, complexity or future ambiguity, the less acceptable a brief invoice becomes. Seek a practitioner able to produce formal treatment documentation when one or more of these conditions applies:
- Rare, unique or historically important objects
- High-value collectibles or objects likely to be resold
- Heavy reconstruction, repainting or replacement of missing elements
- Unstable modern plastics, rubber, coatings or composite materials
- Interventions affecting authentication, grading or scholarly comparison
- Use of heat, solvents, strong adhesives, drilling, pinning or irreversible removal
- Objects likely to require future conservation treatment
Before commissioning work
Questions collectors should ask the restorer
- 1.Will I receive a written proposal before treatment begins?
- 2.Will every introduced material and formulation be identified?

- 10.Who retains the master records, and will I receive durable copies?
A refusal to identify treatment materials because they are a trade secret is a serious warning sign for conservation-grade work.
Long-term custody
The record must survive and remain attached to the collectible
A technically excellent report is ineffective when it becomes separated from the object, trapped in obsolete software or retained only by a business that later closes. The treatment history should travel with the collectible while sensitive ownership, price and security information can be stored separately.
Link the record to the exact object
- Stable inventory or accession number
- Serial, edition, catalogue or manufacturer identifiers

Preserve durable files
- Stable PDF or PDF/A report
- Original unedited image masters with descriptive filenames

Transfer the record responsibly
- Provide the owner with a complete copy
- Keep treatment history separate from sensitive prices, addresses or security data

- Do not rely solely on a restorer's cloud link, social post, QR code or workshop software
Commercial disclosure
A technical treatment report and a sales description perform different jobs
The technical record supports future conservation. A plain-language disclosure should separately explain whether original material was removed, missing material reconstructed, decoration recreated, parts replaced, surfaces refinished or hidden structural repairs introduced.
"Two original fragments were rejoined; an 18 x 12 mm loss was reconstructed and retouched; no intact original painted surface was overpainted" is more meaningful than "sympathetically restored by a professional."
