Documents, Letters and Ephemera

Documents, correspondence and ephemera are often among the physically smallest objects in a collection and among the richest in evidence. A letter can preserve voice and association; an envelope can prove route and date; a receipt can connect an object to an owner; a ticket can anchor an event; a dealer label can preserve a lost chain of custody.

Their weakness is that most were made for immediate use, not long survival. Cheap papers, unstable inks, folds, pressure-sensitive labels, rusty fasteners and improvised storage are common. The collector's task is therefore not to make them look new. It is to slow material loss while retaining the relationships, marks and arrangement that make them interpretable.

Minimum intervention, maximum retained evidence

A crease, postmark, torn opening edge, rusty clip mark or handwritten filing note may be both damage and historical evidence. Preservation begins by identifying what a feature means before deciding whether it should be altered.

What belongs in this category?

Ephemera is material created for a temporary practical purpose. Its survival is often accidental, and that accidental survival is one reason it can become rare. The category is broad because the preservation problem is not a single paper type but a family of evidence-bearing objects.

The object is rarely just paper

A document may be a composite object containing cellulose, ink, graphite, adhesive, metal, wax, textile, plastic and photographic material. Each component ages differently. A method that seems harmless to the sheet can dissolve an ink, flatten an embossing, detach a stamp or scratch a photograph.

Paper or card support

The sheet may be rag paper, wood-pulp paper, coated stock, card, thermal paper, carbon copy or another unstable support. Its flexibility and chemistry set the limits for handling and housing.

Collector risk

A treatment chosen for generic paper may be unsafe for a coated, thermal or highly acidic sheet.

Writing and image media

Iron-gall ink, fountain-pen ink, ballpoint, felt-tip, graphite, crayon, typewriter ribbon, printing ink and carbon-copy media can each fade, bleed, offset, corrode or abrade differently.

The paper can appear strong while the information layer is already unstable.

Stamps, labels, adhesive residues, ribbons, seals, metal fasteners, plastic windows, photographs and old repairs introduce materials that expand, corrode and age at different rates.

Sequence, envelope, wrapper, filing order, page order and connection to another collectible may carry as much meaning as the writing itself.

A collector scenario: the envelope that looked disposable

A collector buys a signed letter and focuses immediately on the signature. The envelope is browned, torn and visually unappealing, so it is put aside while the letter is placed in a clean sleeve. Later research shows that the envelope carried the postmark, recipient address, forwarding mark and an old dealer notation that helped establish date, route and ownership.

The near-loss was not mainly a paper-care failure. It was a context failure. Good preservation keeps physical protection and evidential association together, even when the two pieces need separate sleeves inside one labelled folder.

How deterioration develops

Inherent instability

Many nineteenth- and twentieth-century papers contain lignin or were manufactured under acidic conditions. Newsprint, wartime stock, carbon copies, flyers and office papers may yellow, darken and lose flexibility from within even when stored carefully. Domestic treatment cannot reverse the original chemistry.

Light, heat and humidity

Light irreversibly fades writing, stamps, dyes and photographs while embrittling cellulose. Heat accelerates chemical reactions. High humidity encourages mould, cockling, adhesive failure and metal corrosion; very dry conditions can worsen brittleness. Rapid fluctuation is particularly hard on composite objects because their parts move differently.

Water and poor handling

Water can cause inks to bleed, coated sheets to block, photographs to adhere and dirt to spread within minutes. Handling adds tears, fingerprints, abrasion and repeated flexing at fold lines. A document may look sound while flat yet split the moment it is opened.

Fasteners, adhesives, pollution and pests

Rusting staples, clips, rubber bands and tapes can stain, cut and distort. Wood, PVC, cheap cardboard and unstable paints can emit harmful compounds. Dust holds moisture and attracts pests. Mould and insects may consume paper, starch, glue, leather and surface dirt.

Evidence that deserves protection

Collector judgement improves when evidence is named explicitly. These features should be interpreted before they are cleaned, flattened, separated or discarded.

A single grade such as “good” or “poor” is not enough. Preservation decisions depend on separate axes: paper strength, media stability, attachment risk and moisture activity.

An action hierarchy for collectors

Record before changing

Photograph front, back, folds, envelope, page order, attachments, labels and the arrangement as received. Note what belongs together before anything is separated.

Remove the active external cause

Move the object away from water, damp walls, radiators, sunlight, pests, poor boxes or crushing stacks. Correct the environment before attempting treatment.

Support and isolate

Use a correctly sized folder, board, tray or box. Separate actively staining or mould-affected material physically while preserving the documented relationship.

Reduce access wear

Create a reference photograph, scan or transcription. Fragile originals should not be repeatedly unfolded simply because they are interesting to read.

Escalate invasive decisions

Flattening, tape removal, washing, deacidification, seal repair, mould cleaning and media consolidation belong with a paper or photograph conservator when value or complexity is significant.

Handling: control matters more than ritual

For ordinary stable paper

  • Wash and dry hands thoroughly; avoid lotion or sanitiser immediately beforehand.
  • Remove jewellery likely to catch and use a clean, clear surface.
  • Support the whole sheet; use two hands or a rigid board for larger items.
  • Turn pages from sound areas rather than weak corners.
  • Keep food, drink and ink pens away; label enclosures in pencil.

When to change technique

  • Use nitrile gloves for photographs, metal, mould-contaminated material or chemically sensitive surfaces.
  • Do not slide friable graphite, pastel, carbon copy or flaking media through tight sleeves.
  • Do not press down folds, seals, embossing or curled photographic components.
  • Stop when the object resists movement, crackles, sheds, sticks or transfers media.

Housing: protect the object without erasing its structure

Folders before sleeves by default

A properly sized conservation-quality paper folder supports the sheet, reduces light and dust, and provides a place for notes. “Acid-free” alone is not a sufficient specification. Prefer established conservation suppliers and materials with clear long-term performance information.

Buffered and unbuffered materials

Buffered folders are often suitable for ordinary paper because their alkaline reserve helps counter acidic migration. Unbuffered housing may be preferable for some photographs, cyanotypes, blueprints, coloured papers and protein-based materials. Mixed or unidentified objects should not be assigned housing by the rule that buffered is always better.

When clear plastic is useful

Preservation-grade uncoated polyester, polyethylene or polypropylene can support frequently handled documents, retain fragments and allow both sides to be viewed. Avoid PVC. Do not use plastic where media are powdery, the sheet is damp, static may lift particles, or a seal or embossing would be compressed.

Boxes, orientation and fit

Use correctly sized archival boxes, full enough to support folders but not so tight that removal is difficult. Store brittle, oversized, distorted or attachment-heavy material flat. Robust foldered material may stand upright with dividers. Never fold a legal-size or foolscap item simply to fit an A4 box.

Preservation / restoration boundary

Housing is preventive care; flattening and removal are treatments

Rehousing, supporting and reducing handling can usually be done without changing the object. Humidifying, flattening, washing, stain reduction, tape removal, deacidification, lining and media consolidation alter the object and should be justified by condition, significance and specialist skill.

Letters, envelopes, seals and attachments

Keep a letter and envelope intellectually together, but do not repeatedly insert a fragile letter back into a tight envelope. A safer arrangement is often the unfolded letter and envelope side by side in one larger folder, with pages numbered or wrapped so that original order remains clear.

Do not steam open sealed correspondence or moisten old adhesive. An unopened envelope may have collectible, legal or historical significance as an intact object. Wax, shellac and embossed seals need depth and impact protection; nothing should press directly on them. Detached fragments should be retained in a labelled enclosure, not glued back domestically.

Inks, thermal papers and information at risk

Iron-gall and water-sensitive inks

Iron-gall ink may appear brown, haloed or cracked and can chemically consume the sheet along written lines. Fountain-pen and other water-sensitive inks may bleed with even slight moisture. Do not wash, humidify or apply alkaline solutions without specialist advice.

Ballpoint, felt-tip and graphite

Ballpoint may migrate or form oily halos; felt-tip colours can fade dramatically; graphite and coloured media can smear or transfer. Avoid rubbing, erasing and contact with rough surfaces.

Thermal and pressure-sensitive papers

Receipts, fax papers, carbonless copies and thermal tickets can fade, darken or react to heat, pressure, solvents and plasticisers. Create a high-quality digital record early and retain the original. Keep thermal papers away from PVC, laminators, radiators and hot scanning surfaces.

Display consumes a finite resource

Light damage is cumulative and irreversible. UV-filtering glazing is useful but does not make permanent display safe. Use conservation-quality mounts and backing, keep the object away from the glazing, avoid sunlight and damp walls, and rotate originals. A facsimile may be the right display object when the original carries vulnerable colour, ink or signature evidence.

Never use for valued originals

Self-adhesive mounting boards, dry mounting, spray adhesive, rubber cement, ordinary masking tape, trimming to fit a frame, heat sealing or lamination.

Albums and scrapbooks are arrangements, not containers

Historic albums preserve page order, captions, mounting choices and visual relationships. Dismantling may solve one physical problem while destroying the original intellectual and aesthetic structure. Support albums in fitted boxes and use a cradle during viewing. Interleaving can reduce abrasion, but excessive sheets can swell the binding and strain the spine.

Self-adhesive “magnetic” albums are particularly damaging because adhesives stain and bond to objects while plastic overlays can trap or interact with them. Seek advice before attempting removal.

Digitisation preserves access, not the physical original

Capture the whole evidence object

  • Front and back
  • Envelope, wrapper and enclosures
  • Blank pages where their presence matters
  • Folds, watermarks, embossing, seals and attachments
  • Scale, colour reference and sequence information where appropriate

Preserve the digital record

  • Create a preservation master and smaller access copies.
  • Link filenames to catalogue numbers.
  • Keep multiple copies on more than one device or medium.
  • Maintain one copy in a separate location and check files periodically.

A copy stand or overhead camera is preferable for brittle, sealed, folded, oversized or bound material. Flatbed scanners are suitable only where the object can lie safely without force; never press a document under a scanner lid.

Wet documents

Stop the source, separate wet from dry material, support sheets fully and do not pull apart stuck items. Air-dry small quantities with gentle air movement; seek emergency freezing or conservation help for larger volumes. Prioritise coated papers and photographs.

Mould

Isolate the material, address the moisture source and avoid disturbing spores indoors. Use suitable personal protection and professional advice. Do not return affected objects to clean storage until dry and assessed.

Fire and soot

Soot is abrasive and easily pushed deeper into fibres. Do not wipe it with a damp cloth. Secure the area and consult a paper conservator or disaster-recovery specialist.

Myth versus reality

Myth

Acid-free means permanently safe.

Reality

It may describe only the pH at manufacture. Lignin, recycled fibre, dyes, coatings and long-term stability still matter.

Myth

Plastic protects every document.

Reality

Only suitable preservation-grade polyester, polyethylene or polypropylene used in the right situation. PVC, static, trapped moisture and pressure can cause damage.

Myth

White gloves are always safer.

Reality

For ordinary stable paper, clean dry hands usually provide better control. Nitrile gloves are more appropriate for photographs, metals, mould or chemically sensitive surfaces.

Myth

UV glazing makes permanent display safe.

Reality

It reduces ultraviolet exposure but not visible-light damage, heat or the cumulative effect of long display periods.

Myth

Lamination preserves a valued original.

Reality

Lamination permanently bonds plastic and adhesive to the object, changes its appearance and can make later treatment extremely difficult.

Myth

Old tape should be removed immediately.

Reality

Poor removal can tear fibres, lift ink and spread adhesive. Temporary stability may be safer than an unskilled intervention.

Myth

Everything should be unfolded and flattened.

Reality

Not when paper is brittle, the fold is part of the object's history or attachments make flattening dangerous.

When specialist help is warranted

Preventive care is often enough. Specialist treatment becomes appropriate when the object, information layer or attachments cannot be made safe through support, isolation and reduced handling alone.

  • Suspected iron-gall ink corrosion, brown halos or cracking along written lines
  • Active flaking, powdering, offsetting or loss of image or writing media
  • Severe brittleness, major distortion or folds that resist opening
  • Mould, dampness, blocked coated papers or photographs adhering to sleeves

A practical collector standard

  • Keep each document or related group in a correctly sized conservation-quality folder.
  • Retain letters, envelopes, labels, inserts and associated ephemera together.

  • Keep boxes off the floor and away from pipes, radiators, sunlight and exterior damp.
