Risk Planning for Stored Collections

Risk planning is the discipline of deciding what could harm a stored collection, how serious the loss would be, which objects and records are most exposed, and what should happen before, during and after a failure. It turns separate measures such as boxes, alarms, shelving, monitoring and insurance into one coherent system.

The aim is not to eliminate every imaginable danger. Private collectors rarely have the building, budget or staff to do that. The practical aim is to prevent avoidable loss, detect developing problems early, limit the scale of an incident, preserve the information attached to objects and direct finite effort towards the risks that matter most.

Starting question

Begin with consequences, not equipment

Asking which box, safe or dehumidifier to buy begins with a proposed solution. A stronger first question is: what losses am I actually trying to prevent?

The answer may include total destruction, permanent staining or distortion, missing components, lost provenance, confused copies, undetected theft, unsafe salvage or an insurance claim weakened because ownership and pre-loss condition cannot be demonstrated. 7. Plan for absence and inaccessibility

An emergency may prevent access without physically damaging the objects. Police exclusion, structural concerns, illness, power failure, storage-company disputes, death or incapacity can all remove the person who understands the collection best.

  • Are keys and instructions available securely?

8. Protect the evidence

A fire, theft or flood may destroy both the object and the only evidence of ownership, value and condition. Independent records reduce dissociation and strengthen recovery, succession and insurance claims.

  • Maintain the working database or catalogue.
  • Create an automated local backup and an encrypted off-site or cloud copy.
  • Export periodically to an open, portable format.
  • Keep selected emergency summaries as PDF or paper where appropriate.

Restore, do not merely copy

Untested backup is an assumption

Open exported files, restore sample data and verify that photographs, provenance, valuations, insurance schedules, storage maps and condition records remain intelligible. Protect access credentials through a secure succession mechanism.

Boundary with security and insurance

Do not make a public-facing catalogue reveal the exact address, room, alarm arrangement, periods of absence or concentration of value. Insurance transfers part of the financial consequence; it does not prevent damage or replace provenance, research and sentimental meaning.
