A collection is preserved so that it can continue to be seen, studied, enjoyed, authenticated, valued and passed on. Yet every act of access introduces exposure: a box is opened, an object is moved, a fold is worked, a surface is touched, a mechanism is operated or a storage environment is disturbed. The collector's task is not to choose access or preservation, but to provide the required degree of access while exposing the object to the least avoidable risk.
The opposite mistake is to treat inaccessibility as preservation. Objects can deteriorate inside sealed, forgotten or overcrowded storage through unsuitable packaging, corrosion, mould, pests, unstable plastics, adhesive failure, battery leakage, pressure, water ingress and loss of identification. Controlled inspection can therefore be a preservation action, while badly designed access can be a source of damage.
The collector's paradox
Make information easy to access, make objects safe to retrieve, and make direct handling necessary only when the physical original has something important to reveal.
Preservation is not permanent isolation
Exceptional fragility, instability or significance may justify severe restrictions, but “never touch it” is not a general storage method. A collector must still be able to inspect enclosures, identify active deterioration, confirm that components remain together and respond when the environment or building changes. The better principle is controlled access: every opening, retrieval or use has a reason, a prepared method and a level of control proportionate to the object.
Myth
The safest stored object is the one that is sealed away and never disturbed.
Reality
An inaccessible object can remain uninspected while unsuitable materials, hidden moisture, corrosion, pests or mechanical pressure cause continuing harm.
Access is not one activity
The word “access” can describe anything from looking at a digital image to powering an old electronic device. Those acts should not share one rule. A useful access policy distinguishes the purpose, degree of contact and potential consequence of each form.
Visual access
The object can be seen without being removed or touched: through a suitable enclosure, inside a glazed cabinet, or through photographs and catalogue records.
Usually the lowest-risk form of access, provided visibility does not create damaging light exposure or a poor display environment.
Retrieval access
The item leaves its storage position but may remain enclosed. Typical reasons include checking an edition, photographing packaging, comparing examples or presenting the object to a valuer.
Risk rises because the object, its enclosure and neighbouring material are moved.
Handling access
The object is held, turned, opened, unfolded or examined directly. Grip pressure, abrasion, fingerprints, unsupported weight and accidental impact become relevant.
The handling method must reflect the object's construction and current condition, not merely its type or age.
Functional access
The collectible is played, operated, powered, wound, folded, assembled or otherwise used for its original purpose.
Function may be part of significance, but operation normally creates more wear and may reveal hidden mechanical or electrical failure.
Research access
Close examination is required for identification, authentication, provenance, measurement, comparison, imaging or material study.
The examination should answer a defined question. Repeated retrieval to rediscover the same facts is a documentation failure.
Emergency access
The object must be reached because of water, smoke, fire response, mould, pest activity, packaging failure, theft risk or structural collapse.
Dense or confusing storage can turn an incident into a greater loss by obstructing safe retrieval.
The preservation cost of access
Access rarely has a simple yes-or-no effect. Its cost accumulates. One careful retrieval may be negligible; hundreds may soften corners, scuff coatings, split seams, loosen staples, crack hinges, disturb packaging, deposit dust or separate small components. Light exposure also accumulates even when the object is never touched.

A robust duplicate may tolerate frequent reference use. A unique, brittle, signed, incomplete or already damaged example may not tolerate the same pattern at all.

Poor access is also a preservation risk
Difficult retrieval encourages the very behaviour preservation systems should prevent: dragging, lifting several objects together, bending neighbouring material, using unsafe steps, placing boxes on the floor and leaving displaced items in the wrong location. Accessibility is not simply convenience. It reduces the number and complexity of physical actions required each time an object is reached.
Storage that is too dense
Lower objects carry crushing or distortion loads.
Labels, surfaces and signs of pests or mould become hidden.
Drawers jam and removal requires force.
Several objects must be disturbed to retrieve one.
Emergency priorities become slow or impossible to reach.
The clearance test
Can the enclosure be gripped safely?
Can it be lifted rather than dragged?
Can labels and surrounding surfaces be inspected?
Can it leave the shelf without scraping adjacent material?
Can it be returned without forcing anything aside?
Design storage around actual access frequency
Value alone should not decide where an object sits. Frequency of use, vulnerability, weight, support needs and emergency priority all influence location. A sensible collection uses access tiers rather than pretending every object requires identical immediacy.
Frequently accessed
Active research material, reference duplicates, current collecting areas and objects regularly photographed or shown.
Keep within comfortable reach, clearly labelled and retrievable without disturbing unrelated objects.
Occasionally accessed
Stable, documented material retrieved mainly for inspection, valuation or infrequent study.
More space-efficient storage is reasonable if removal remains safe and the location is unambiguous.
Rarely accessed or highly vulnerable
Unique, brittle, flaking, unstable, irreplaceable or archival material whose significance does not depend on routine use.
Use more protective housings and require preparation, extra support or specialist help before access.
Quarantined or actively deteriorating
Objects with suspected mould, pests, active corrosion, leaking batteries, failing adhesives or degrading plastics.
Do not bury these in ordinary storage. Isolate, monitor, document and resolve the risk before reintegration.
The enclosure is the access interface
A good enclosure protects during storage and makes the correct movement obvious. A poor one forces direct gripping, inversion, shaking, flexing, complicated untying or contact with vulnerable decoration. The safest action should also be the easiest action.

Myth
More layers of packaging always mean better preservation.
Reality
Every layer should control a defined risk. Packaging that is difficult to open, inspect or reassemble can increase handling danger and conceal deterioration.
Individual housing, group storage and visibility
Individual housing usually improves identification, support and component control, but consumes more space and material. Compatible stable objects can share group housing when retrieval does not require rummaging, identities remain clear, no object carries another's weight and loose parts cannot migrate. A box of unlabelled loose objects is not efficient storage; it is deferred damage and deferred documentation.
Open storage
Fast visual and physical access, but greater exposure to dust, light, pollutants, accidental contact, pests and unauthorised handling.
Closed storage
Reduced light, dust and casual contact, but hidden mould, corrosion, foam failure and pollutant build-up remain possible. Closed does not mean maintenance-free.
Transparent storage
Can reduce opening and handling, but material suitability and light exposure still matter. Visibility alone does not make a container preservation-safe.
A controlled retrieval sequence
Safe access begins before the enclosure opens. The destination, route, support equipment, component risks and reason for movement should already be understood.

Use documentation to absorb routine access
Good organisation is one of the strongest preservation measures because it prevents searching. A collector who cannot locate one item may open ten boxes. A complete record can also answer many questions without retrieving the original. Identity and location should remain separate: the object keeps the same identifier even when its room, cabinet, shelf or box changes.

High-quality photographs, scans, measurements and descriptions can support identification, comparison, insurance, valuation, provenance research, publication and condition monitoring without physical retrieval. They reduce access demand but do not replace material evidence such as texture, weight, construction, hidden surfaces, internal parts, physical authenticity or functional behaviour.
The preferred hierarchy
Use the catalogue record when the question is informational.
Use photographs, scans or recorded measurements when visual evidence is sufficient.
Use a reference copy, duplicate or reproduction when repeated reading, play or display is expected.
Retrieve the original only when the physical object has evidence the surrogate cannot provide.
The role of each copy must be documented. A preservation copy, use copy, facsimile and original should never become confused merely because they look alike or share packaging.
Let condition determine the access method
Two examples of the same collectible may require different access rules. A sound book can be opened carefully; an apparently identical copy with detached boards and brittle sewing may need a cradle and restricted opening angle. A stable boxed toy can leave its enclosure normally; another with powdering print and a brittle window may need a support tray. Restrictions should follow observed vulnerability, not age alone.
Stable and robust
Sound structure, secure components and surfaces capable of normal careful handling.
Direct access may be routine, but avoid unnecessary exposure and preserve a clear handling standard.
Vulnerable but manageable
Minor weakness, loose parts, delicate surfaces, awkward weight or packaging that needs additional support.
Prepare a tray, board, cradle, clean work surface or second handler before retrieval.
Fragile or significantly compromised
Detached elements, brittle folds, split seams, powdering media, cracked plastics, weak bindings or previous repairs under strain.
Restrict access to a defined purpose and record the required handling method on the enclosure and catalogue record.
Actively unstable
Mould, pests, active corrosion, chemical odour, sticky or weeping plastic, battery leakage, severe distortion or continuing delamination.
Ordinary access stops. Isolate the object and seek material-appropriate advice before further handling or use.
A practical catalogue access status
An access field converts condition and significance into an operational instruction. It should be reviewed after treatment, damage, deterioration, relocation or a change in use.
Open access
Stable and robust; normal careful handling is acceptable.
Controlled access
Use a prepared surface and follow recorded instructions.
Restricted access
Retrieve only for a defined reason because the object is fragile, significant or difficult to replace.
Specialist access
A conservator, technician or experienced handler should be involved.
No functional use
Viewing and examination are permitted, but the object should not be played, powered or operated.
Quarantined
Keep outside normal storage until the identified risk has been assessed and controlled.
Functional objects require a separate judgement
Some objects are understood partly through use: a game is played, a camera is operated, a recording is heard or a mechanism moves. Yet “working condition” is not automatically “preserved condition.” Keeping an object operational may require replacement parts, lubrication, repeated repair or loss of original material, while one attempt at use may trigger catastrophic failure.
Before operation, ask
Is operation essential to understanding or significance?
Can a video, recording, duplicate or demonstration model preserve the experience?
Are belts, lubricants, batteries, insulation, hinges or joints degraded?
Could one use create irreversible damage?
Is wear historically meaningful, acceptable or avoidable?
Could a specialist supervise or document a rare demonstration?
Specialist threshold
Stop ordinary access when the object shows active deterioration, unstable power components, seized mechanisms, fragile surface decoration, severe structural weakness, unknown hazardous material or a credible risk that operation or opening will cause major loss. At that point, access planning requires a conservator, technician or experienced material specialist rather than more careful enthusiasm.
Inspection is access with a preservation purpose
Controlled inspection can reveal new cracks, fading, corrosion, mould, pests, staining, adhesive seepage, foam decay, sticky plastics, distortion, detached components, water marks and battery leakage. Condition photographs taken in a repeatable way can distinguish active change from old damage.
The interval should be risk-based. A stable ceramic in a secure cabinet may require less frequent direct examination than unstable PVC, battery-containing toys, degrading film, cellulose acetate or objects stored in a damp building. Inspect often enough to detect change, but not so often that inspection becomes a major source of wear.
Emergency access must be designed in advance
Water ingress, smoke, mould or structural failure leaves little time to decipher labels, dismantle shelving, locate keys or identify priority objects. Ordinary organisation becomes emergency preservation when aisles are clear, doors open fully, heavy objects sit at sensible heights and high-priority material can be recognised immediately.

The non-negotiable rule
Human safety takes precedence. An emergency priority list supports decisions only after occupants and responders are safe; it is never an instruction to enter an unsafe space for an object.
Domestic collections need proportionate compromises
Most collectors do not have purpose-built stores, separate examination rooms or museum furniture. Living spaces may also contain children, pets, kitchens, bathrooms, work areas and frequently rearranged shelving. The objective is not to imitate an institution perfectly, but to remove the largest avoidable risks while preserving the collection's meaning and usability.

Future custodians must be able to understand the system
A storage system held only in the collector's memory is fragile. Family members, executors, heirs, insurers, valuers, dealers, conservators and emergency responders may eventually need access without the collector present. Long-term preservation therefore includes intellectual access: clear numbering, understandable labels, ownership and provenance records, handling instructions, digital access arrangements and warnings about unstable or hazardous materials.
Collector scenario: the perfect system nobody else can use
A collector can retrieve any object from memory and knows which unmarked boxes contain fragile originals, use copies and spare components. After illness or death, the same room becomes an opaque mass. Family members open the wrong packages, separate components and handle unstable material without support.
Nothing in the physical storage changed, but access risk rose sharply because the knowledge needed to operate the system was never externalised. Labels, location records and handling notes are therefore preservation tools, not administrative decoration.
A proportionate access decision

Is the object being accessed for enjoyment, identification, photography, valuation, research, conservation, operation or inspection?
2. Test whether the original is needed
Could a catalogue record, photograph, scan, external view, duplicate or reference copy meet the need?
3. Judge vulnerability
Consider material, construction, condition, size, weight, loose components, previous repairs, known instability and replaceability.
4. Add controls
Prepare supports, limit light and duration, use two people, supervise access, clear the route or involve a specialist.
5. Accept or reject the residual risk
Not every risk must be eliminated, but the remaining risk should be understood and justified by the value of access.
