Originals, Edits and Derivatives
In collectible photography, an original, an edited master and a derivative are not merely different file sizes or formats. They perform different evidential, preservation and practical roles. The original preserves the earliest available capture, the master records a controlled interpretation, and each derivative adapts that interpretation for a particular use.
This distinction matters because a collection image may identify an item, record condition at a particular date, support authentication, document restoration, establish what was shown to a buyer or insurer, and provide a reusable visual asset. When those roles are confused, an archive can retain attractive pictures while losing the ability to explain where they came from or what was changed.
Governing principle
Preserve what the camera or scanner captured, record what was changed, and generate separate files for each practical use.
The collector's central question is not simply whether a file is RAW or JPEG, large or small, edited or unedited. It is: which file records the evidence, which file interprets the evidence, and which file merely delivers it?
Core model
The three-layer image family
A well-managed collection treats related files as an image family rather than as isolated copies. The family may begin with one capture or with a multi-view set, then branch into one or more masters and purpose-specific derivatives. Each layer can be valuable, but it should not silently take the place of another.
Layer 1
Original or source
Preserves the earliest available capture and its technical context.
Typical files
Camera RAW, in-camera JPEG, phone HEIC, scanner TIFF, seller-supplied file or auction download.
Collector rule
Retain unchanged. Describe its provenance honestly; do not call an inherited JPEG a camera original unless that is known.
Layer 2
Edited master
Records the best controlled and approved interpretation of the source.
Typical files
Colour-corrected TIFF, layered PSD, high-quality edited JPEG or rendered master from RAW.
Collector rule
Document significant changes and retain enough information to understand or reproduce the intended result.
Layer 3
Derivative
Adapts an image for a defined practical use.
Typical files
Thumbnail, web image, marketplace copy, insurance report image, annotation, watermark or redacted public copy.
Collector rule
Treat as an output with a declared role. Regenerate it from an approved parent rather than repeatedly resaving earlier derivatives.
A typical lineage
A second source from the same session may document the rear, base, defect, packaging or serial number. For a three-dimensional collectible, the meaningful original record may therefore be the complete capture set rather than one supposedly definitive photograph.
Definitions
What can legitimately be called an original?
The physical original
The collectible itself remains the physical original. A photograph is a representation of it, not a substitute for every material property. Texture, weight, fluorescence, hidden construction, watermarks, internal damage and behaviour under changing light may not be captured at all.
The digital capture original
This is the file initially produced by the camera, scanner or phone: for example CR3, NEF, ARW, DNG, an in-camera JPEG, a scanner TIFF or a phone HEIC. It is normally the closest available record of the capture event.
The earliest file in your possession
A seller's JPEG, auction download, previous-owner scan or social-media copy may be original to your archive without being the true camera source. Preserve the earliest available file unchanged, but label it accurately as seller-supplied, downloaded, inherited, previously edited or source provenance unknown.
The preservation master
A preservation master is a management role: a deliberately retained, high-quality file intended to support long-term access and reuse. It may be the camera source, a high-quality scan, a rendered TIFF or a documented migrated copy. Its value depends on retention, protection, documentation, backup, integrity checking and connection to the item and capture event - not on its extension alone.
Boundary: the image is not the object
Digital-image management can reduce handling and strengthen documentation, but it does not transfer every property of a collectible into a file. Authentication, material examination and conservation may still require the physical object. Image lineage supports those domains; it does not replace them.
Source protection
Why the source should remain unchanged
An untouched source provides a stable reference against which every later version can be assessed. It can help establish whether a scratch was present at acquisition, whether a serial number was cropped, whether colour was altered, whether damage was retouched or whether a platform recompressed the file.
Protect the source from
- Saving edited pixels over the only capture.
- Destructive rotation, cropping or resolution reduction.
- Repeated JPEG resaving.
- Casual metadata stripping or rewriting.
- Automatic thumbnail or derivative processes.
- Conversion followed by deletion of the source.
Do not confuse untouched with perfect
A source may be underexposed, poorly framed, incorrectly balanced, distorted, dusty or surrounded by irrelevant background.
Its value lies in preserving the capture state. Visual correction belongs in a separate master or derivative.
Formats and capture
RAW, JPEG, HEIC and scanned sources
RAW as a digital negative
RAW usually retains more sensor information and greater latitude for future exposure, white-balance, colour, lens and tonal decisions. It is especially useful for valuable or colour-sensitive material.
RAW is not interpretation-free. Its appearance depends on the camera, firmware, exposure, lens, profiles and rendering software. Retain the RAW source, but also consider a durable rendered master or accessible image.
Original JPEG or HEIC
A JPEG created by the camera or a HEIC created by a phone can be the capture original. JPEG is not automatically a derivative.
The principal risk is repeated lossy resaving. Keep the camera file unchanged and edit a copy, preferably generating future outputs from a higher-quality parent.
Born-digital versus digitised material
A born-digital photograph originates in a digital camera or phone and may carry device, exposure, time, location and colour information. A digitised photograph or document is created by scanning or photographing a physical source, so two originals must be kept conceptually separate: the physical source and its digital capture.
A digital master of a historic print, letter, certificate or catalogue should not silently repair fading, handwriting, stains or damage that may be evidentially important. Restoration for presentation belongs in a labelled derivative.
Editing judgement
What counts as an edit?
An edit is any intentional or automatic change to pixels, encoding or associated information. This includes visible retouching, but also colour-space conversion, metadata removal, resizing, compression and software-generated computational images.

Collector meaning
These changes are normally compatible with documentary use when restrained and recorded. The untouched source should still remain available.

Collector meaning
The result may reveal useful information, but it is no longer a simple single-capture representation. Retain component files and disclose the method where judgement depends on the result.

Collector meaning
Do not present the file as untouched condition, authenticity or completeness evidence. Preserve a non-reconstructive documentary version and label the altered file as a presentation derivative.
Dust on the imaging system is not damage on the collectible
Removing a camera-sensor spot, scanner-bed dirt or a stray hair on the photography table corrects the imaging process. Removing a stain, crease, tear, restoration trace or dust physically present on the collectible changes the represented condition.
When the distinction is uncertain, retain an unretouched documentary version and record what was removed.
Master strategy
Non-destructive editing and the edited master
Non-destructive editing stores instructions, masks, layers or catalogue adjustments without replacing the source. It supports reversibility and multiple interpretations, but creates dependencies on sidecars, databases, software versions, plugins and fonts. The source may survive while the intended edit is lost.
Rendered archival master
A high-quality flattened file, often TIFF, containing the approved result.
- Comparatively application-independent.
- Easy to inspect and export from.
- Less dependent on a catalogue database.
- Useful as a durable parent for future derivatives.
Editable working master
A layered or adjustment-based file, such as PSD or another application-native format.
- Preserves layers, masks and reversible decisions.
- Supports complex annotations and composite work.
- May require software and linked assets to remain usable.
- Should not be the only durable expression of an approved result.
A strong workflow may retain both. A simple documentary JPEG, shelf-location photograph or legible receipt image may need neither. The management effort should match the evidential, financial and practical value of the photograph.

Role names are more useful than “final”
Names such as final, final2 and final-really-final identify neither purpose nor status. Prefer a stable item identifier, view, role and version.

Colour, cropping, backgrounds and computational images
Colour accuracy
Colour can distinguish printings, inks, fading, oxidation, restoration and counterfeit material. Preserve an embedded profile, use controlled white balance and lighting, and keep a colour-target reference when colour is consequential. A compressed online image should not be treated as definitive evidence because displays, browsers and viewing conditions vary.
Cropping
Cropping may remove scale, supports, adjacent damage, accessories, packaging context or the edge of a certificate. Keep the uncropped source and use a controlled crop in the master or derivative. Record exclusions when context matters.
Background removal
Background-removed images can improve catalogue and marketplace presentation, but may erase contact shadows, transparent parts, edge damage or irregular silhouettes. They should remain derivatives, never replacements for documentary sources.
Focus stacks, HDR and composites
Computational images can reveal marks or surface structure more clearly than a single frame, but they are constructed from several captures. Retain the components, the composite, the software or method and the reason it was made.
AI and generative editing threshold
AI tools can remove objects, suppress reflections, reconstruct missing areas, invent texture, upscale apparent detail, relight scenes and extend borders with plausible pixels that were never captured.
Such tools may be acceptable for a clearly labelled presentation derivative. They should not be used silently in condition, authentication, provenance or completeness evidence.
Retain the source and a non-generatively edited documentary version. Record the tool and operation when the altered image remains part of the collection record.
Collector scenarios
How image roles change the reliability of a record
A scarce boxed set with colour-sensitive printing differences
A collector photographs a scarce boxed set whose printing can partly be distinguished by ink colour and small production details.
Weak record
The only surviving file is a saturated marketplace JPEG with the background removed and no colour profile. The collector later cannot establish whether the colour difference belonged to the object, the lighting or the edit.
Stronger record
Retain the RAW or camera JPEG, include a colour target in one reference frame, create a restrained colour-managed master and export a separate marketplace derivative.
Why the distinction matters
The source supports later reassessment; the master provides a controlled interpretation; the marketplace copy records exactly what buyers were shown.
A condition dispute after an online sale
A buyer claims that a corner crease was not visible in the listing photographs.
Weak record
The seller kept only platform-downloaded images after the marketplace resized and recompressed them.
Stronger record
Retain the full-resolution source, the approved sales derivative and the exact uploaded file, together with the listing date and item record.
Why the distinction matters
The family of files can show what existed in the source, what the seller selected for presentation and whether the platform altered the delivered image.
An annotated authentication detail
A macro photograph is used to explain a suspected production mark. Arrows and labels are required for an authentication report.
Weak record
The collector draws directly on the only high-resolution file and later cannot distinguish the annotation from marks on the collectible.
Stronger record
Keep the neutral macro source, create a controlled detail master and add arrows only to an annotated derivative linked to the report.
Why the distinction matters
Observation remains separate from interpretation, allowing another specialist to review the same evidence independently.
Metadata and lineage
What every image family should be able to explain
Metadata should answer four questions: what is shown, how the image was created, what happened to the file, and who may use it. The information may be embedded, stored in a sidecar, held in a database or distributed across all three. Important relationships should be exportable rather than existing only inside one proprietary catalogue.

Integrity
Fixity, provenance and what they do not prove
Checksums and fixity
A checksum can reveal corruption, incomplete transfer or unexpected modification by comparing the current file with a previously recorded state.
It proves file equality with that state, not that the photograph was honest, correctly dated or accurately labelled.
Content provenance
Tamper-evident provenance systems can record media origin and editing history where supported.
They do not independently prove that the depicted collectible is authentic, owned by the photographer, fully shown or described truthfully. Digital provenance supports traditional evidence; it does not replace it.
Operational control
Versioning, status and deletion
Version control should answer which file came first, which is approved, which is public, which has been superseded, what changed and which master generated a derivative. Combine a version number with a meaningful status such as draft, reviewed, approved, superseded, withdrawn or archived. Never recycle version numbers.
Usually safe to regenerate or delete
- Obsolete thumbnails and caches.
- Temporary exports and failed renders.
- Duplicate social-media sizes.
- Platform-specific files that no longer record a transaction or event.
Retain despite derivative status
- The exact image used in a sale or dispute.
- An insurer-submitted or published version.
- A historic annotated condition image.
- A derivative whose process can no longer be reconstructed.
Duplicate is not the same as derivative
A duplicate is byte-for-byte identical. A derivative has changed pixels, encoding, metadata or presentation. Two images can look identical while differing in compression, dimensions, metadata or colour profile.
Checksums can identify exact duplicates. They cannot establish visual equivalence or documentary meaning.
Sequence
Recommended collector workflow
Capture
Create the photograph or scan. For important material, include sufficient views, scale, colour reference, identifiers and defect details to make the capture meaningful later.
Ingest
Copy files into controlled storage rather than treating the memory card, phone or editing application as the archive.
Verify
Confirm that files open, dimensions are plausible and transfers are complete. Calculate checksums where the image has material evidential or financial value.
Identify
Associate every source with the owned item, capture session, view, date and photographer. Record uncertainty when a seller-supplied or inherited file has incomplete provenance.
Protect the source
Move the original into a source area that routine editing, resizing and automated derivative jobs cannot overwrite.
Create the master
Apply necessary, controlled corrections. Keep sidecars, layers or adjustment records when they contain the only surviving account of the intended edit.
Generate derivatives
Create purpose-specific files for web display, thumbnails, sale, insurance, annotation, public sharing, redaction or print.
Apply metadata rules
Carry forward useful identification and rights information while deliberately excluding private location, financial, security or personal data from public outputs.
Record lineage
Link each derivative to its master and each master to its source. Record version, status, edit summary and derivative purpose.
Back up and monitor
Maintain redundant copies and periodically check the integrity of significant sources and masters. A perfect naming scheme does not compensate for a missing backup.

Common misunderstandings
Myth: a JPEG is always a derivative.
Reality: an in-camera JPEG may be the original capture file. Its role depends on how it was created, not merely its extension.

Seek specialist photographic, conservation, forensic or digital-preservation advice when image processing may materially influence authenticity, condition, valuation, legal disclosure, insurance or publication.
- Colour comparison is being used to distinguish a valuable variant or suspected counterfeit.
- Multispectral, ultraviolet, infrared or raking-light images require interpretation.
- A composite, enhancement or AI process may introduce or suppress material evidence.
- A damaged or obsolete file format requires migration with minimal loss.
- Image history is likely to be challenged in a dispute, claim or authentication report.
- Redaction must be secure rather than merely hidden in an editable layer.
