Condition Baseline Images

A condition baseline image is a deliberately created photographic record of a collectible's physical state at a defined moment. It establishes the visual reference against which later inspection, damage, deterioration, restoration, movement or dispute can be compared.

The distinction is purpose. A catalogue image asks what the collectible looks like. A baseline asks what was physically present, absent, altered, damaged or vulnerable on this particular copy, on this date, and how that conclusion can be checked later. The strongest baseline is therefore not one impressive photograph, but a connected chain of object identity, inspection, image, description, date, file and collection record.

The crack that may - or may not - have grown

A collector removes a glazed figure from storage and notices a hairline near the base. It appears longer than remembered. A sales photograph taken three years earlier shows the front attractively, but the reflection hides the lower edge and the file has been resized by a marketplace. It confirms ownership, but it cannot answer whether the crack was already present or whether it has progressed.

A useful baseline would have included a full rotation, a regional view locating the area, a close-up with scale, controlled directional light, a written note and the original file. The difference is not photographic polish. It is whether the past condition can be reconstructed closely enough to support a present decision.

Baseline does not necessarily mean the first photograph ever made. A collectible may acquire several valid baselines as its circumstances change.

Meaningful checkpoints include acquisition, unpacking, entry into storage, installation for display, transport, lending, cleaning, conservation, restoration, grading, encapsulation, a handling incident, insurance review, sale, donation or inheritance. A sequence might contain an acquisition baseline, a pre-treatment baseline, a post-treatment baseline, a pre-loan baseline and a return-from-loan baseline. Each is valid because each records a different state and event.

The future-reader test

Could a person who has never seen the object determine which copy it was, which parts belonged with it, what condition was visible, where each defect sat, how large it was, how the image was made and what remains uncertain? If not, the baseline is incomplete regardless of how attractive the photographs appear.

Image-set architecture

Move from the whole object to the individual feature

The most dependable baseline progresses from identity to context to detail. Close-ups made without this hierarchy are often visually clear but evidentially weak.

1. Identity views

Show which exact object is being documented: front, back, sides, underside, interior, maker's mark, serial number, printing indicator, signature, packaging and contents as required.

2. Overall condition views

Show the complete object clearly enough to understand the distribution of wear, fading, deformation, missing elements and damage in relation to the whole.

3. Regional views

Bridge the gap between the whole object and a small defect: one box corner, the lower third of a poster, a book spine and adjoining boards, or a blister seal and surrounding card.

4. Detail views

Record an individual condition feature at useful magnification, ideally with a locating image, written cross-reference, condition map or scale where measurement matters.

The missing middle is usually the regional view

Amateur records often jump from a full object to an extreme close-up. The detail may show a scratch perfectly while failing to show whether it is on the lid, base, spine, label, corner or internal component. A regional frame preserves location and scale in relation to the object without sacrificing useful detail.

Photograph what survives as well as what is wrong

Condition baselines should preserve positive evidence of completeness, originality and association, not become albums of isolated damage.

Surface

Scratches, scuffs, abrasion, dirt, staining, fading, yellowing, gloss change, tarnish, corrosion, paint loss, print loss, residue and coating failure.

Structure

Cracks, splits, tears, punctures, creases, dents, warping, broken hinges, loose joints, detached pieces, failed adhesive lines and unstable repairs.

Edges and corners

Rubbing, fraying, chipping, rolled edges, shelf wear, compression, exposed substrate and separation of layered materials.

Concealed surfaces

Backs of framed works, undersides, inner box walls, battery compartments, areas beneath inserts, backing boards, mounting systems and internal repairs.

Completeness

The whole group, every significant component, inserts, accessories, trays, bags, paperwork, replacement parts and detached fragments.

Packaging

Seals, shrink-wrap seams, hang tabs, blister edges, windows, trays, flaps, tape, labels, stickers, crushing, punctures, splits and discolouration.

Myth

A clear front and back photograph is enough for most collectibles.

Reality

Front and back may identify a simple flat object, but they do not automatically document edges, thickness, concealed surfaces, structural deformation, component completeness, packaging or defects hidden by reflection.

Collector consequence: Choose views according to the object's form, vulnerability, value and intended later comparison - not a universal two-image quota.

Seeing condition

Ordinary lighting does not reveal every defect

Lighting is not merely an aesthetic choice. Each arrangement reveals some evidence and suppresses other evidence.

General appearance

Diffuse frontal light

Useful for identity, broad colour and staining, but often suppresses shallow dents, fine scratches, cockling, lifting and surface texture.

Relief and distortion

Raking light

Low-angle light can reveal ripples, dents, embossing, scratches, raised paint, shallow cracking, deposits and planar deformation. Direction should be recorded because a feature may disappear when the light moves.

Reflective condition

Specular light

Controlled reflection can disclose gloss change, polishing, pressure marks, coating disturbance, fingerprints, abrasion and some retouching on glossy cards, plastics, records and lacquered surfaces.

Through the material

Transmitted light

Backlighting can reveal thinning, tears, punctures, watermarks, joins, losses, repairs and adhesive residues when the object can be illuminated safely.

Reflection control is not the same as reflection removal

Large diffusers, flags, light tents and polarisation can make reflective objects legible, but an image with every reflection suppressed may conceal gloss variation, polishing, coating disturbance or pressure marks. Glossy cards, records, polished metal, lacquered toys and plastic packaging may need both a reflection-controlled identity image and a deliberately specular condition image.

Ultraviolet, infrared and other technical methods sit beyond ordinary baseline photography. They require controlled procedures and informed interpretation. Their files should be labelled as technical images rather than mixed indistinguishably with normal visible-light records.

Repeatability

Build a setup that can be reproduced

Exact laboratory replication is unnecessary for most private collections, but simple consistency greatly improves later comparison.

Control where practical

  • Light source, position, angle and diffusion

A practical home setup

  • Camera or phone fixed on a tripod or copy stand

  • One reference photograph showing the setup itself

Colour comparison requires more than a neutral-looking picture

The camera records the object together with the colour of the light, room reflections, exposure, white balance, in-camera processing, display behaviour, compression and later editing. A warm domestic-light photograph cannot be compared confidently with a later image taken beside a cool window.

Where colour change matters, include a clean, unfaded reference target in the same light and plane as the object. A grey card assists exposure and neutral balance; a multi-patch colour target carries more information. Preserve the original capture and the documentary master because neither automatic JPEG processing nor a RAW file alone guarantees accuracy.

Measurement and location

Turn visible damage into traceable evidence

Scale, orientation and cross-reference allow later readers to judge size, position and possible progression.

Place scale correctly

Keep it in the same plane as the feature, near enough to read, parallel to the relevant surface and labelled in an unambiguous measurement system. A ruler held above the object introduces perspective error.

Show depth differently

Overhead photographs may not reveal dent depth, bowing, edge thickness, blister lifting or layer separation. Add side or oblique views rather than forcing a single image to do every job.

Protect the object

Never place a hard ruler on a fragile, glossy, friable or scratch-prone surface. Use a lightweight inert scale beside the object or support it independently.

The sequence has a real order: identity and context should be established before the object is repeatedly moved or the photographer concentrates on small defects.

Make the photographs inseparable from the correct object record.

  • Photograph an object ID or session card as the first frame.
  • Show the whole item with the identifier visible once, then remove it safely.
  • Record the date, baseline event and photographer or recorder.

Establish the object's overall form before concentrating on defects.

  • Photograph front, back, sides, top, bottom, interior or underside as relevant.
  • Keep orientation, camera distance and framing consistent.

The number of photographs should follow the object, not a rigid quota.

Ordinary, stable, lower-risk material

Minimum baseline

Front, back, identifying mark, major defects, date, object ID and a written condition summary. It is intentionally modest, but it must still identify the copy and record its important visible limitations.

Standard baseline

Relevant overall views, completeness record, regional and detail damage images, scale where useful, neutral lighting, consistent naming, preserved originals and a linked written condition report.

Rare, fragile, high-value or disputed material

Enhanced baseline

Controlled setup, colour target, measurement scale, alternative lighting, concealed surfaces, component-by-component record, RAW and master preservation, condition map, checksums, detailed metadata and a repeatable monitoring protocol.

Object-form judgement

Different collectibles expose different documentary weaknesses

A baseline should respond to construction, material, packaging and the condition features that ordinary views are likely to miss.

Books, comics and paper ephemera

Record covers, spine, edges, corners, binding or staples, important pages, centre spread, dust jacket, inserts, tears, creases, foxing, staining, writing and detached elements. Raking light is particularly useful for cockling, embossing and pressure marks.

Boxed games and toys

Record lid, base, every side, internal tray, the complete contents group, each significant component, seals, tape, labels, crushing, splits, colour change, stress marks and repairs. A closed-box photograph does not establish completeness.

Figures and plastic objects

Use front, back, profiles, underside, maker's marks, joints, paint wear, stress whitening, yellowing, surface change, deformation, accessory fit and fracture views. Do not repeatedly flex brittle joints to make the image set symmetrical.

Coins, medals and metal objects

Record obverse, reverse, edge, inscriptions, surface tone, corrosion, scratches, dents, mounting marks and possible cleaning. Lighting must distinguish the surface from reflections created by the setup.

Records and optical media

Record labels, playing surfaces, edge, spindle area, sleeves, inserts, warping, scratches and contamination. Directional reflected light usually reveals more than a standard frontal view.

Textiles and costume

Record overall front and back, seams, closures, labels, lining, staining, tears, insect damage, fading, distortion, repairs, support method and storage folds. Include overall and detail scales where useful.

Ceramics and glass

Record a full rotation, base, marks, rim, handles and joins, chips, cracks, glaze loss, crazing, old repairs and internal surfaces. Directional or transmitted light may help reveal cracks, but reflections require deliberate control.

Enclosures and access

The safest baseline may leave the object where it is

Documentation must not create the damage it is meant to record.

Sealed blister packs, graded cards, encapsulated comics, framed works, fragile objects in custom mounts and supported textiles may be safer when photographed in their enclosures. Record the whole enclosure, labels, seals, accessible sides, visible condition and any damage to the enclosure itself.

State explicitly whether a scratch, haze, crack or residue appears to be on the object, the inner enclosure, the outer surface or remains uncertain. A scratch on a grading slab is not evidence of a scratch on the enclosed card.

Do not improve the photograph by endangering the collectible

  • Do not flatten brittle paper merely to make it square to the camera.
  • Do not stand an unstable object upright for a cleaner view.
  • Do not open a stiff binding beyond its safe angle.
  • Do not remove fragile packaging solely to reduce reflections.
  • Do not place adhesive labels or unsafe props on the object.

A less perfect photograph is preferable to avoidable damage.

Metadata turns files into documentation

A photograph alone cannot communicate its full object identity, purpose, method or interpretation.

Use filenames that can survive outside the interface

A useful pattern is [object-ID]_[date]_[baseline-type]_[view]_[sequence]. ISO dates sort chronologically and avoid British-American ambiguity.

Camera filenames may remain in technical metadata, but the collection system should assign a durable documentary identity. Names such as IMG_8359.jpg, damage-new.jpg or final-final2.jpg carry almost no reliable context.

Image integrity

Preserve what the camera recorded

Condition evidence may be processed for access and legibility, but it must not be silently cleaned, reconstructed or beautified.

  • White-balance and modest exposure correction
  • Lens correction and careful sharpening
  • Creation of smaller access derivatives
  • Focus stacking where necessary and disclosed

Potentially misleading

  • Cloning out dust, scratches or losses

  • Selective contrast that exaggerates damage
  • Undisclosed composites or background replacement
  • Generative fill, object removal or AI reconstruction

Preserve the unedited original, a high-quality documentary master and clearly distinguished access copies. Store them in more than one location, retain embedded or database metadata, check integrity periodically and avoid dependence on a phone, marketplace listing, social account, restorer portal or collection system that cannot export the files and their context.

Common ways a baseline fails

Most failures do not come from inadequate camera specifications. They come from missing context, inconsistent method or an incomplete evidential chain.

Only the best side

This creates a presentation image, not a baseline. Vulnerable edges, reverse surfaces, packaging and concealed evidence remain undocumented.

Damage without location

A sharp close-up of a crack has limited value when no overall or regional view shows where it sits on the object.

No exact identity or date

Two copies may look similar. Without a reliable object link and documentary date, the image loses much of its chronological and evidential strength.

Photographing after cleaning

Dust, residue, labels or deposits may already have been removed, permanently losing evidence of acquisition condition.

Inconsistent colour and exposure

Automatic phone processing, different room light or changed exposure can manufacture apparent fading, yellowing or staining.

Discarding originals

Marketplace thumbnails, social copies and interface derivatives may be too compressed or altered for later inspection.

Glare over evidence

Reflections can conceal the very scratches, dents, seal edges or coating disturbances that the image was meant to record.

No written interpretation

The viewer cannot tell whether a mark is dirt, mould, corrosion, manufacture, restoration, active damage or uncertainty.

What baseline photographs can - and cannot - prove

A photograph is evidence, but it is not perfect evidence and should not be described as absolute proof.

Evidence

What the image can show

Visible appearance within the photographed area, spatial relationships, component association, the approximate size of scaled features and the state represented by that capture.

Interpretation

What the image may mean

A mark may be staining, corrosion, mould, residue, manufacture or restoration. Meaning normally comes from examination and the written condition record, not the pixels alone.

Limit

What remains unproven

A photograph rarely proves when damage first occurred, what caused it, whether hidden damage existed, whether colour is exact, whether the date is genuine or whether the file was edited.

Corroboration

What increases confidence

Object ID, original metadata, multiple views, written notes, scale, colour target, shipping or acquisition documents, controlled storage and an audit trail strengthen the evidential chain.

Liability is a separate judgement

Baseline images may narrow disagreement about whether a visible defect existed before shipping, treatment, loan or transfer. They do not automatically prove when it occurred, who caused it or who is legally responsible. Those conclusions may depend on custody records, packaging, contracts, expert interpretation and other evidence beyond photography.

Specialist threshold

When ordinary collector photography is no longer enough

Escalation is warranted when the decision depends on evidence the collector cannot safely reveal, capture or interpret.

Seek specialist help when

  • The object is unstable, contaminated or unsafe to handle.
  • Accessing the relevant surface risks opening, dismantling or breaking it.
  • Subtle colour change or material identification carries high financial significance.
  • Technical imaging such as ultraviolet or infrared is proposed.
  • A restoration, insurance or legal dispute requires controlled evidence.
  • The condition feature may be active mould, corrosion or structural failure.
